Job description

Overview:

A dynamic and busy family of 5 in NYC is seeking a sharp and collaborative house manager/personal assistant to join their team. The general schedule will be Monday through Friday, 9am-6pm, with the flexibility for schedule changes, travel, and events. The family spends the summer in the Hamptons, the candidate must be open to working from their home there during the summers. The family is respectful of your off time, but does request that you have the mentality of being available when needed. Working hours can be split between working remotely, and working on-site once the position is established and a routine is in place. This is a very hands-on role, and one that allows you to partner, grow, and feel appreciated by a wonderful family! The ideal candidate is experienced, intelligent, has a strong communication style, and is very proactive! Candidates must be local to NYC and a comfortable commute from the Upper East Side to be considered.

Responsibilities:
  • Go-to person for all things household
  • Oversee household staff and collaborate with principals 
  • Staff scheduling; basic HR (payroll/onboarding)
  • Family calendar
  • Keep track/reconcile expenses
  • Coordinate transportation/travel
  • Create systems to optimize home/family
  • Manage vendor relationships
  • Coordinate events (smaller and larger functions)
  • Oversee any home repairs, renovations projects
  • Run errands, etc as needed
  • Occasional, light travel as needed
  • Step in to support others as needed
  • Additional special projects
  • Tech Used: Google Suite, Notion, Lutron, Crestron, Savant
Qualifications:

  • Skilled manager - you will oversee household staff and vendors, organize family calendars, schedule personal appointments, coordinate family travel, pay bills and oversee various household projects.

Requirements:
  • 6+ years of house management/personal assistant experience (or equivalent experience)
  • Strong communication skills
  • High EQ and intuitive nature, can read a room and understand how to successfully work with different personalities to create win-wins
  • Excellent follow-up/follow-through - doesn't let things fall through the cracks
  • Team player / collaborative mentality - this is a fully staffed home
  • Strong work ethic: takes ownership; driver; self-directed
  • Positive and professional attitude, regardless of the task at hand
  • Excellent problem solver - delivers solutions not more problems
  • High attention to detail; strong operational and logistics skills
  • 24/7 mindset - willingness to work outside normal business hours when needed

  • Must have a driver's license (car not necessary)

  • Must like kids, the family has 3 elementary aged kids
  • Must be able to travel when needed
  • Must be able to work in the Hamptons during the summers
Salary and Benefits:
  • Salary is $125k-$175k DOE + discretionary bonus and benefits
