Legal Coordinator

Overview
Fieldstone A&E is a leading firm specializing in architectural and engineering solutions for residential and commercial projects. We are seeking a detail-oriented and proactive Legal Coordinator to join our team. This role is responsible for tracking lawsuits, maintaining organized legal files, coordinating communications with attorneys, conducting research, and monitoring risks and trends that may impact the firm’s operations. The Legal Coordinator will play a critical role in supporting legal processes and ensuring compliance with industry standards.

Key Responsibilities

Lawsuit Management & Coordination

  • Monitor and track all active lawsuits the firm is involved in, ensuring timely updates and accurate records.
  • Serve as the main point of contact for attorneys, clients, and stakeholders involved in legal matters.
  • Coordinate communication between the firm and external legal teams to ensure seamless collaboration.
  • Maintain a detailed calendar of legal deadlines, hearings, and filing dates.

File Management & Documentation

  • Organize, maintain, and update legal files—both physical and digital—in compliance with company standards.
  • Prepare, review, and organize correspondence, reports, and other legal documents.
  • Ensure the accuracy, completeness, and proper archiving of all legal documentation.

Research & Risk Awareness

  • Conduct legal research on relevant case law, statutes, and industry-specific regulations.
  • Analyze legal risks and trends within the architecture and engineering sectors to provide actionable insights.
  • Identify patterns in lawsuits and compile reports to support risk management strategies.

Compliance & Internal Audits

  • Conduct internal audits of company processes, ensuring compliance with internal policies and external regulations.
  • Develop and maintain checklists and procedures to monitor and verify compliance with legal, contractual, and regulatory obligations.
  • Work closely with department leaders to address areas of non-compliance and implement corrective actions.
  • Stay informed about changes in laws, regulations, and industry standards that could impact the firm's operations.

Compliance Reporting

  • Prepare summaries and reports on ongoing lawsuits, compliance reviews, and internal audits for senior leadership.
  • Recommend improvements to processes based on audit findings and legal research.
  • Collaborate with HR and other departments to ensure compliance training programs are implemented effectively.

Qualifications
Education & Experience

  • Bachelor’s degree in Paralegal Studies, Legal Administration, Business Administration, or a related field (preferred).
  • 3-5 years of experience in a legal assistant, paralegal, or legal operations role, preferably within the architecture, engineering, or construction industry.

Skills & Competencies

  • Strong understanding of legal procedures, terminology, and documentation.
  • Experience with internal audits and process evaluation.
  • Exceptional organizational and file management skills, with acute attention to detail.
  • Ability to prioritize and manage multiple tasks and deadlines efficiently.
  • Proficient in legal research tools (e.g., Westlaw, LexisNexis) and document management systems.
  • Strong written and verbal communication skills for clear, professional interactions.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
