Responsibilities:
● Ensure Data Accuracy and Quality Control:
○ Meticulously review incoming Purchase Orders (POs) to verify all data is accurate and complete.
○ Double-check details such as wholesale prices, retail prices, sizing, colors, SKUs, UPCs, and quantities to eliminate errors.
○ Implement quality control procedures to maintain the highest level of data integrity in all documents.
● Precise Data Entry and Cross-Record Keeping:
○ Translate Warehouse Inventory Reports into ATS Reports:
■ Receive detailed inventory reports from our United States warehouse, where we keep our finished products.
■ Accurately translate and update this data into our Available to Sell (ATS) reports that are shared with retailers.
■ Ensure the ATS reports precisely reflect current inventory levels to prevent overselling or stock discrepancies.
○ Recreate and Verify Data Across Multiple Documents:
■ Input incoming POs into internal record-keeping systems using Google Sheets and Microsoft Excel.
■ Recreate this data accurately in multiple places, such as outgoing POs for different vendors and factories.
■ Perform cross-verification between internal records and outgoing documents to ensure consistency and eliminate errors.
● Careful Drafting of Outgoing Purchase Orders:
○ Create outgoing POs for materials required to fulfill incoming orders with multiple vendors, ensuring absolute accuracy.
○ Tailor specific PO information for each individual factory, considering that a single incoming PO might involve coordination with 5 or more factories.
○ Use Google Sheets and Microsoft Excel to manage and distribute these documents without errors.
● Online Store Product Creation:
○ Collaborate with different team members to collect necessary data for product listings.
○ Work on templates to upload data and create products on our online web stores and marketplaces.
○ Ensure that product pages are accurately created and uploaded, reflecting correct information and details.
● Strict Organizational Excellence:
○ Uphold exceptional organizational skills to prevent any errors in data review and transmission.
○ Manage and prioritize tasks effectively to meet critical timelines and deadlines for reviewing POs, ordering supplies, and uploading product data.
● Accurate Inventory Management:
○ Update Available to Sell (ATS) reports with precise current inventory levels using Google Sheets and Microsoft Excel.
○ Monitor and reconcile inventory across multiple locations, ensuring accurate tracking of products in the United States warehouse and at
international factories, where we keep our unfinished goods, trims, and fabrics.
Requirements
Qualifications:
● Exceptional Attention to Detail:
○ Proven ability to maintain high levels of accuracy in data review and entry.
○ Strong commitment to quality control and error prevention in all tasks.
● Proficiency in Google Sheets and Microsoft Excel:
○ Extensive experience with these tools is highly preferred.
○ Ability to utilize advanced features and functions to manage and analyze data accurately.
○ Perform basic functions such as VLookups and SUMIF calculations
● Strong Organizational Skills with Cross-Record Keeping Ability:
○ Expertise in cross-record keeping, comparing and verifying data across multiple documents to ensure consistency.
○ Ability to manage multiple responsibilities without compromising on precision.
○ Excellent time-management skills to adhere to strict deadlines.
● Technical Proficiency:
○ Familiarity with Microsoft Excel, Google Sheet, Google Drive
○ Proficient in using spreadsheets and data management tools with a focus on meticulous detail.
● Effective Communication:
○ Excellent communication skills for accurately coordinating with vendors, factories, and internal team members.
○ Ability to convey detailed information clearly to prevent misunderstandings.
