Job description

We are seeking a Payroll Manager to oversee all aspects of the company's payroll process, ensuring accurate and timely payment to employees while maintaining compliance with federal, state, and local regulations. This role involves managing payroll systems, supervising payroll staff, generating reports, and resolving payroll discrepancies. This is a Remote position; however, preference will be given to CST and EST applicants. Competitive Salary offered.

Key Responsibilities:

  • Payroll Processing:
    • Collect and review timekeeping records from various departments to ensure accuracy.
    • Calculate employee pay, including regular hours, overtime, commissions, bonuses, and deductions (taxes, benefits, garnishments).
    • Process payroll through the payroll system, ensuring timely submission of paychecks or direct deposits.
    • Generate and distribute paystubs to employees.
    • Monitor payroll deadlines and ensure compliance with all payroll regulations.
    • Multiple pay cycle experience (bi-weekly, semi-monthly).
    • Review and process physician compensation.
    • Reconcile payroll discrepancies promptly.
  • Compliance Management:
    • Stay current with federal, state, and local payroll laws and regulations. Implementing necessary adjustments to payroll processes.
    • File accurate and timely payroll tax returns (federal, state, and local).
    • Ensure proper reporting of employee benefit deductions.
    • Conduct regular audits of payroll data and resolve discrepancies.
    • Ensure adherence to healthcare-related payroll regulations (if applicable).

 

  • System Administration:
    • Oversee payroll system maintenance, including updates to tax tables, deduction codes, and employee data.
    • Implement upgrades to payroll systems and troubleshoot any issues.
    • Ensure data security measures are in place to protect sensitive payroll information.

 

  • Team Leadership:
    • Supervise and mentor payroll staff, providing training, setting performance objectives, and ensuring accuracy and compliance.
    • Address employee payroll inquiries and resolve issues promptly.
    • Manage payroll for a workforce of 5000+ employees across multiple states and jurisdictions.
    • Integrate payroll processes for newly acquired practices or locations.

 

  • Reporting and Analysis:
    • Generate payroll summaries, year-to-date earnings reports, and tax liability reports for management.
    • Analyze payroll trends to identify areas for operational improvements.
    • Prepare reports for financial statements, audits, and regulatory filings.

 

  • Collaboration:
    • Work closely with HR to manage employee onboarding, terminations, and payroll-related changes.
    • Collaborate with the accounting department to integrate payroll data with financial records.

Qualifications:

  • Bachelor’s degree in accounting, Finance, or a related field required.
  • Minimum of 3 years managing payroll operations in a multi-state environment, processing payroll for 500+ employees.
  • Expertise in payroll software (UKG Pro preferred).
  • Strong understanding of payroll regulations across federal, state, and local levels.
  • Excellent analytical, problem-solving, and organizational skills.
  • Strong attention to detail and ability to manage multiple deadlines.
  • Effective communication and interpersonal skills to engage with employees and cross-functional teams.
  • Healthcare payroll experience is a plus.
