Job description

Collette is seeking an Administrative Assistant to join our growing Australia team. Reporting to the Managing Director, this is a full-time hybrid role with 3 days at the Collette Office, located 16/175 Pitt Street, Sydney and 2 days remote.

Primary Functions:

  • Acts as the main point of contact within the Australian office to resolve day to day. administrative and operational issues and coordinate with other teams to maintain excellence in service.
  • Overall management of the physical office to include, but not limited, to the set up and allocation of equipment, storage of collateral, processing incoming and outgoing mail and location maintenance.
  • Maintain office supplies inventory and place orders as needed.
  • Invoice payment and processing, ensuring all accounting functions are performed according to both company and country standards.
  • Point of contact within the Australian office for Collette Headquarters to include but not limited to maintenance of all IT Systems, Wi-Fi connections and hardware within the office.
  • Point of contact within the Australian office for Collette Headquarters for implementation of new corporate procedures and companywide systems changes and updates.
  • Schedule and coordinate meetings as requested by Managing Director.
  • Support in the preparation of reports, presentations, staff conferences, events and brochure launches as requested by Managing Director.
  • Work alongside Managing Director to manage Australia Office Budget and alongside other senior personnel to ensure budgets and records are maintained accurately.
  • Support the recruitment and onboarding of new staff.
  • Work with Collette HQ to expand Collette AU Intranet.
  • Famil logistics management as required. 

Knowledge and Skills:

  • Self-starter with intuition and an interest in the travel industry. 
  • Ability to work concurrently on projects. 
  • Ability to be fluid and reorder priorities as business needs dictate.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, TEAMs CoPilot ).
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving skills.
  • Friendly and professional demeanor.
