ButterflyMX is looking for a self-motivated Project Specialist to ensure that key aspects of the customer experience and client implementation process are fulfilled in a timely and accurate manner. In this role, you will be responsible for coordinating with cross-functional teams to update project status and maintain information on projects in the team’s backlog. Your goal is to ensure all information on the record is correct and current.

Responsibilities

  • Serve as the point of contact for internal teams regarding aging project backlog.
  • Validate project data in backlog with internal stakeholders, customers and/or partner installers to ensure accurate details and status maintain project viability and timelines.
  • Define actionable next steps for projects by involving, and aligning relevant stakeholders across teams, in order to revive or maintain project timelines.
  • Maintain implementation project tracking record - update and validate project details, to ensure project is in Implementation Project Manager’s workflow for completion.
  • Prioritize work queues to ensure projects and communications are progressing with the Implementation team.
  • Manage schedules, activities, and communications with cross functional teams.
  • Coordinate invoicing requests and validate billing/payment inquiries.
  • Communicate with internal departments (client success managers, technical teams, finance, and sales teams) and our customer to ensure a smooth and positive client service experience.
  • Stay informed on inventory and tracking of materials needed for projects

Requirements

  • Up to 1+ years of relevant work experience in a customer-facing role
  • Foundational understanding of Project Management fundamentals and coordination
  • 1+ years of experience in multifamily industry (preferred not required) 
  • Demonstrate a high level of accountability for your work
  • Exceptional documentation and communication skills
  • Proven track record of delivering results and working towards targets
  • Prior experience working with email platforms and SFDC
  • Highly organized
  • Have strong attention to detail and can spot and correct errors
  • Critical thinker that can break down problems and find solutions
  • Ability to work collaboratively and build strong cross functional relationships 
  • Know when to take ownership of a task
