The Grants & Contracts Manager (GCM) is an important member of the research administrative leadership team in the Department of Medicine-Research Administration. Reporting to the Post-Award Senior Grants and Contracts Manager and collaborating with the Director, the team grants and contracts managers, departmental research administration and clinical research unit leads, the GCM will play a significant management role within our organizational structure. The GCM will support grants administration by leading a variety of interrelated initiatives around policy development and process improvement for post-award activities.
The GCM will coordinate projects within the broad research administration management environment, utilizing the skills and full understanding of research administration and/or clinical research finance practice, policies and procedures to promote best practices in the department. Assigned projects will include post-award fund management for both grants and contracts across a large array of sponsor types, close-out processes, management reporting, and internal control workflows.
Duties and Responsibilities
- Supervise the team’s grants and contracts portfolios, including reconciliation and analysis of monthly financial statements for Principal Investigators
- Manage budget, reporting and compliance timelines through the lifecycle of the grant or contract
- Identify the need for cost transfers from budget reconciliation and ensure timely completion
- Effectively communicate with central departments as necessary in order to meet University deadlines
- Ability to manage and prioritize multiple projects/tasks simultaneously
- Perform other duties as assigned to ensure efficient and effective research support in the Department of Medicine
Minimum Education/Training Job Requirements
- Bachelor’s degree or 3 years of relevant experience
- Working knowledge of OMB Circulars and other pertinent external regulations
- Knowledge of grant funding policies and procedures and applicable local, State, Federal and institutional regulations
- Knowledge of Duke financial management systems with experience in research administration is preferred
- Successful completion of the Research Administration Academy (RAA) is expected. Employees hired into this classification without RAA training will work closely with their manager to schedule and complete the training within 12 months of start date. The expectation is that the staff member will maintain the requirements for their level. Failing to meet these requirements will be addressed through the performance review process.

Minimum Qualifications
Education
Work requires communications, analytical and organizational skills generally acquired through completion of a bachelor's degree program. Research or grants education and/or certification is preferred. Successful completion of the Research Administration Academy (RAA) and Advanced Grants Management is required. Employees hired into this classification without the expected credentials will work closely with their manager to schedule and successfully complete all training (12 months to complete RAA and an additional 6 months to complete AGM). Successful completion of all expected training will be an annual performance goal until complete. Upon completion of expected training, the employee must maintain Research Administration Academy (RAA) certification and Advanced Grants Management (AGM) certification by completing continuing education requirements. Certified Research Administrator preferred.
Experience
Work generally requires three years of relevant grants and contracts experience.
