Job description

This is a remote position.

Schedule:
40 hours per week

Monday to Friday

8am to 5pm with a 1-hr unpaid lunch break Florida time

Client Timezone: Florida Time

Responsibilities:

  • Calendar management - My executive assistant will schedule meetings, appointments, ensure that my personal and business obligations don't conflict.
  • Arrange any business travel arrangements - Book flights, hotels and transportation for any upcoming business trips
  • Meeting coordination - Set up my meeting agendas, send invites, prepare materials and manage logistics. 
  • Communication management: Answer phone calls for me and emails. Coordinate with staff members regarding Department of Labor or Law Enforcement Communications.
  • Document Preparation - Must have excellent written and oral communication skills to draft emails and messages as me. Also prepare reports and letters on my behalf.
  • Information Management - Maintain and organize important documents and files
  • Gate keeping - Screen calls, visitors, and managing access to the executive.
  • Arrange and coordinate - doctor appointments for me and my child. 
  • Event Planning - Coorinate conferences, team-building activities and other events
  • Project management - Assisting with project planning, tracking progress, and ensuring deadlines are met.
  • Review and provide a summary of our lead and client reports, as well as staff performance reports - which are completed by our team leads.
  • Generating financial reports and sending weekly reports to the CFO about clients’ monthly payments.
  • Following up with clients regarding their payments
  • Acting as liaisons to assist clients with any payment-related questions or concerns.
  • Must be fluent in English.

  • Strong organizational and time management abilities.
  • Attention to detail and ability to multitask.
  • Familiarity with legal processes and client care is a plus.
  • Ability to work independently and assertively handle client interactions.
  • Prior experience in administrative or customer service roles is preferred.
  • Comfortable referring to FAQs and company processes for accurate information.
