Job description

Job Overview: 

The Personal Assistant will be responsible for screening calls and meeting requests to maintain a structured flow of communication, as well as anticipating and addressing potential issues related to deliverables, deadlines, and objectives. Key responsibilities include preparing meeting agendas, conducting research, documenting and distributing meeting minutes, and following up on action items with senior management to ensure completion.

Additionally, the Personal Assistant will prepare correspondence and materials for various stakeholders, organize travel arrangements, and provide exceptional customer service to both internal and external contacts. This role requires a proactive approach, strong attention to detail, and a commitment to supporting the CEO's goals and initiatives.

Job Description

  • Develop systems and procedures to improve communication and efficiencies involving the CEO.
  • Manage the CEO’s schedule to ensure sufficient availability for relevant priorities and people.
  • Follow up, anticipate and proactively raise issues with the CEO in a timely and appropriate manner around risks to meeting deliverables, deadlines and objectives.
  • Screen calls and meeting requests and communication to the CEO to ensure access is filtered through this role at all times unless advised otherwise by the CEO.
  • Prepare meeting agendas, perform research for meetings and take and circulate meeting minutes.
  • Confirm action items and follow up with senior management as required to ensure the agreed actionable are being completed as required. 
  • Prepare correspondence and other material as required for internal/external stakeholders, events and meetings
  • Organising booking and arranging travel, transport and accommodation for the CEO and any other individual requested by the CEO.
  • Provide exceptional, courteous, customer service to internal and external stakeholders.


Requirements
  • 2 Years relevant experience
  • Previous experience providing similar support to a C-suite or higher level position.
  • Ability to maintain confidentiality
  • Experience in making interstate and international travel arrangements desirable
  • Assertiveness and ability to professionally manage communication, expectations and conflicting priorities with a wide range of internal and external stakeholders.
  • Strong attention to detail and time management
