Description
Position Purpose: The Legal Administrator is responsible for providing administrative and clerical support to the legal department of the organization. This role involves managing legal documentation, assisting in contract management, coordinating legal activities working within the applicable contracts management system (such as SalesForce), and assisting with communication to internal and external stakeholders. The Legal Administrator will work closely with the legal team and other departments to help maintain an efficient, organized, and legally compliant operation.
Responsibilities:
- Organize, file, and maintain legal documents, contracts, and records, ensuring compliance with company policies and legal requirements.
- Prepare and proofread legal correspondence, contracts, and other documents.
- Maintain a system for tracking important dates and deadlines related to legal matters (e.g., filing deadlines, contract renewals).
- Assist in the preparation, review, and negotiation of contracts and agreements.
- Ensure that contracts are signed, filed, and tracked in accordance with company policy.
- Maintain an organized database of executed contracts and agreements.
- Assist in preparing reports for audits, inspections, and compliance reviews.
- Conduct preliminary legal research to support the legal team in ongoing cases and projects.
- Serve as a liaison between the legal team and other departments or external parties (e.g., clients, regulators, legal vendors).
- Manage and schedule meetings, conference calls, and appointments for legal personnel.
- Coordinate the delivery of legal documents such as certified letters and documents requiring wet signatures.
- Ensure that legal files are securely stored and properly managed in line with privacy and data protection regulations.
- Manage departmental budgets and assist with the preparation of legal department invoices and expenses.
- Assist in the creation of presentations and reports for senior management or legal proceedings.
- Perform other administrative duties as assigned by the legal team or department head.
Requirements:
- Paralegal certification is a plus but not required.
- Minimum of 2-3 years of experience in a legal or administrative support role, preferably in a corporate or law firm setting.
- Experience with legal documentation, and contract management, and regulatory compliance is desirable.
- Proficiency in Microsoft Word, Adobe Acrobat, and SharePoint.
