Job description

This role is a proactive, tech-savvy, and detail-oriented operations and executive support position that ensures the smooth functioning of a growing organization. The responsibilities blend administrative, operational, and strategic functions with opportunities for professional development and growth. The ideal candidate will excel in managing workflows, improving processes, and supporting leadership while contributing to the broader success of the team.

Key Responsibilities:
  1. Administrative & Operational Support:
  • Coordinate team operations, manage calendars, organize meetings, and ensure smooth workflow.
  • Maintain and update records with attention to confidentiality and accuracy.
  • Handle document management and monitor office resources.
  • Lead & Client Management:
    • Manage inbound leads and client communication, ensuring timely responses.
    • Use CRMs like HubSpot and tools like ClickUp to track and manage data effectively.
  • Process Improvement:
    • Analyze existing workflows, propose enhancements, and implement solutions to boost efficiency.
  • Executive Assistance:
    • Provide support to the Managing Director (MD), including scheduling, email management, and preparing reports.
    • Handle bookkeeping tasks and oversee financial reporting tools such as QuickBooks.
  • Recruitment & HR Functions:
    • Assist in recruitment efforts, including job postings, screening, and onboarding.
    • Support employee engagement initiatives and maintain a positive workplace culture.
  • Growth & Marketing Support:
    • Collaborate with marketing teams to develop and sustain branding initiatives.
    • Contribute to strategic growth by identifying opportunities and implementing changes.
