Job description

Overview:

**Candidate must reside in one of the approved remote worker states: AR, AZ, CA, CO, FL, IL, IN, KY, MI, ND, NE, OH, SC, TN, TX, WA, WI**

 

The HR Assistant is responsible for providing administrative and clerical support to the Human Resources department and the employees it serves.

Responsibilities:
  1. Supports CommonSpirit Health at Home’s mission to make the healing presence of God known in our world by improving the health of the people we serve, especially those who are vulnerable, while we advance social justice for all.   2. Adheres to the Corporate Compliance Program, including confidentiality of HIPAA protected health information. 
  3. Manages incoming tickets and requests, identifying the appropriate team or team member and assigning as appropriate. 
  4. Completes new hire and survey preparedness HR File Audits for home office employees. 
  5. Performs quality control audits on a sample of employee files for all locations, ensuring compliance with applicable rules and regulations. 
  6. Runs, formats, and shares reports to drive compliance with human resources projects, like the annual flu campaign, focal point performance review program, and annual benefits enrollment. 
  7. Enters, maintains, and manages renewable requirements for home office employees and other employees as requested.
  8. Meets with new employees to complete new hire paperwork, either in person or remotely. 
  9. Supports transfers to and from affiliates by tracking start dates and access provisioning progress, preparing for transfers, and engaging other teams to resolve problems as needed. 
  10. Completes requests related to the Public Service Loan Forgiveness program. 
  11. Sends credentials and login information to new hires. 
  12. Completes new hire reporting across multiple states for all new hires at CommonSpirit Health at Home. 
  13. Prepares and submits service award requests. 
  14. Files and retrieves documents in the electronic employee file. 
  15. Submits tickets and mass upload requests on behalf of employees, leaders, and HR Business Partners. 
  16. Coordinates schedules, schedules meetings, prepares agendas, and takes meeting minutes as requested.
  17. Gathers documents, data, or information and completes data entry as requested. 
  18. Answers and routes phone calls to the appropriate party. 
  19. Assists with special projects and administrative tasks as assigned. 
  20. All other duties as assigned
Qualifications:

Required Education: Associate's Degree in Human Resources OR a Current Student in a Bachelor's in Human Resource Program.

Required Minimum Experience: 5 years of experience in an administrative, clerical, or remote role. 

Required Minimum Knowledge, Skills and Abilities: Proficient using computers and computer programs, including Google Mail, Google Calendar, Google Docs, Google Sheets, and Google Chrome. 

Strong written and verbal communication skills are required. 

Experience organizing, planning, and prioritizing work, processing information, and establishing and maintaining interpersonal relationships.

Preferred Education and/or experience: 1 year of experience in a Human Resource Assistant or Coordinator role.
