Job description

Job Description:
We are looking for a reliable and highly organized Virtual Administrative Assistant to support our team. In this role, you will primarily be responsible for calendar management, email coordination, and performing a variety of administrative tasks. We are seeking an individual who is proactive, detail-oriented, and able to communicate effectively. While a background in accounting or bookkeeping is preferred, we are open to applicants who are eager to learn and undergo training in these areas.

Key Responsibilities:

  • Calendar Management: Organize and schedule meetings, appointments, and events. Ensure optimal time management for the team and ensure deadlines are met.
  • Email Management: Monitor and organize inboxes, respond to inquiries, and flag important messages. Provide timely follow-up to ensure smooth communication.
  • Administrative Support: Handle general administrative tasks including document preparation, filing, and maintaining databases.
  • Accounting/Bookkeeping Support (Preferred, but not required): Assist with basic accounting tasks, such as invoicing, expense tracking, and data entry. Training will be provided if you do not have experience in this area.
  • Communication: Serve as a liaison between team members and clients, ensuring clear and professional communication.
  • Research & Other Tasks: Conduct research and assist with various administrative functions as needed.

Qualifications:

  • Proven experience in administrative support or virtual assistant roles is a plus.
  • Strong proficiency in office tools such as Microsoft Office Suite (Excel, Word, Outlook), Google Workspace, and Zoom.
  • Experience with email management tools and scheduling software is preferred.
  • Basic accounting or bookkeeping experience is highly desirable; however, we will train the right candidate.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, organizational skills, and the ability to multitask effectively.
  • Ability to work independently and manage time efficiently in a remote environment.
