Job description

We are seeking an Accounts Payable Specialist to join our team. The ideal candidate will have a strong background in financial management, a passion for accuracy, and a commitment to excellence. In this role, you will be responsible for overseeing accounts payable, managing collections, maintaining fixed asset records, handling sales tax filings, and conducting financial research to support our operations.

Key Responsibilities:

  • Accounts Payable (AP):

    • Enter and seek approvals for vendor invoices

    • Maintain vendor records accuracy, including W9s and contact information

    • Process vendor invoices and ensure timely payments.

    • Reconcile accounts payable transactions and address discrepancies.

  • Collections:

    • Monitor and manage customer accounts for timely payments.

    • Communicate with clients to resolve outstanding balances.

  • Fixed Assets:

    • Maintain and update fixed asset schedules, tracking acquisitions and disposals.

    • Reconcile fixed asset accounts to the general ledger.

  • Sales Tax:

    • Prepare and file sales tax returns in compliance with regulations.

    • Maintain accurate records for audits and reporting.

  • Research:

    • Investigate and resolve accounting discrepancies.

    • Analyze financial data to assist with decision-making.

Required Qualifications:

  • Education: Associate's or Bachelor’s degree in Accounting, Finance, or a related field preferred.

  • Experience: 1 year of proven experience in accounts payable, bookkeeping, or related roles.

  • Skills:

    • Proficiency in accounting software and Microsoft Excel.

    • Strong attention to detail and organizational skills.

Preferred Qualifications:

  • Knowledge of fixed asset management software.

  • Familiarity with state and local sales tax regulations.
