Administrative Assistant – Marketing, Communications, and Development
Claremont Hillel
Role Overview

Claremont Hillel is seeking a detail-oriented and creative Administrative Assistant to support its Marketing, Communications, and Development efforts. This role is ideal for a highly organized individual with strong communication skills and a passion for helping our Hillel grow its impact. As a core member of our growing team, you will help ensure that our messages reach the right audiences, our events run smoothly, and our development efforts are well-supported.

You will join a dynamic and collaborative staff at our office in Claremont working to create a vibrant, welcoming Jewish community at the Claremont Colleges.

What You’ll Do
Marketing & Communications
  • Create and manage a communications calendar, ensuring timely and engaging outreach to students, families, alumni, and donors.
  • Design newsletters, flyers, and social media content that reflect Hillel’s vibrant activities.
  • Maintain and update the Hillel website with current programs, events, and resources.
  • Support event marketing and promotion to increase participation and engagement.
Development Support
  • Maintain accurate donor records and process gifts in a timely manner.
  • Draft and send donor acknowledgments, ensuring personalized and meaningful communication.
  • Assist in planning and executing fundraising campaigns and events, including annual appeals.
  • Organize and track fundraising data, supporting reports for the Executive Director and Board.
Administrative Duties
  • Provide administrative support to the team, including scheduling meetings, managing correspondence, and organizing files.
  • Data management and maintenance.
  • Coordinate logistics for events, including RSVPs and vendor communications.
  • Oversee office operations, ensuring supplies and materials are well-stocked.
What You’ll Bring to the Job
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication abilities.
  • Creativity and proficiency with tools like Canva, Mailchimp, or similar platforms.
  • Familiarity with donor databases or CRM systems (preferred but not required).
  • Ability to multitask, prioritize, and work collaboratively in a small-team environment.
  • A passion for supporting Jewish life and contributing to a mission-driven organization.
  • Access to a car is required.
  • You must be able to work in person from Claremont CA during the semester.
What You’ll Receive
  • 12 month salary of $45,000–$52,000, depending on experience.
