Job description

Our client is looking for an Operations Administrator with strong Excel skills and attention to detail. The successful incumbent will work closely with the Chief Operating Officer to provide support on operational duties. The candidate should enjoy working in a small team, have high attention to detail, have excellent Excel skills, enjoy task orientated work and be interested in gaining experience across a broad spectrum of operational activities. The job is a permanent, full-time position. A remote working arrangement can be discussed depending on candidate experience. 


Responsibilities (including, but not limited to, given the small team and dynamic environment)

Reporting:


  • Download portfolio holdings and run import macros daily.
  • Prepare and distribute information required for monthly and quarterly client reports.
  • Prepare monthly portfolio performance returns for existing and potential clients.

Operations:


  • Prepare monthly fund performance figures and update relevant spreadsheets.
  • Update monthly factsheets and minimum disclosure documents.
  • Maintain B-BBEE stockbroker information.
  • Oversee client investments/withdrawals to ensure that they are properly processed by the administrator, also liaise with the portfolio manager.
  • Submit monthly data for industry surveys and liaise with survey providers for inclusions of new funds or any amendments.
  • Review monthly draft surveys received and confirm with survey providers.
  • Handle ad-hoc information requests from current or potential clients.
  • Prepare monthly performance and holdings comparative analysis of investment industry peers.

Trade Support:


  • Liaise with administrator and/or brokers to resolve any trade mismatches – for local and global trades.
  • Create and submit end-of-day trade files to administrator.
  • Review and sign-off of daily portfolio mandate checks.
  • Prepare monthly brokerage allocation analysis.
  • Open new trading accounts with brokers.
  • Obtain data from Bloomberg terminal that’s required for month-end.


Client Service:

  • Assist with ad-hoc due diligence questionnaires.
  • Assist with the take-on of new clients and update relevant internal spreadsheets and processes.
  • Handle ad-hoc information requests from current or potential clients.


Corporate Actions:
  • Submit proxy votes on the ISSProxy Exchange system.
  • Prepare proxy voting reports for various clients. 


Requirements


  • Proficient in Microsoft Office, Excel in particular.
  • At least two years of operational experience in a financial services administration environment.
  • BCom – accounting, or equivalent relevant tertiary qualification.

  • Most importantly - numbers orientated, methodical, accurate, and attentive to detail.
  • Comfortable to work in a very small team without formalised structures.
  • Good communication skills.
  • Ability to use initiative.
  • Ability to manage a diverse range of tasks.



Salary: Circa R25 000 - R30 000
