As an Administrative Assistant, you will partner with your senior leaders to ensure their time is managed efficiently, from calendar management and travel planning to coordinating team meetings and events. • Expert calendar management, efficiently scheduling meetings, and proactively preventing or resolving conflicts.

  • Preparing for meetings by creating calendar events, drafting agendas, developing slide decks, and communicating with attendees to ensure alignment before meetings.

  • Attending select meetings to capture key action items, following up with attendees to ensure timely completion of tasks.

  • Coordinating events such as team-building activities, partner meetings, and on-site/off-site sessions, ensuring seamless execution of all logistics.

  • Collaborating closely with the Executive Support team to coordinate across the wider Affirm organization.

  • Handling additional administrative tasks, including submitting expense reports, managing travel, and preparing documents and presentations using Google Suite and Microsoft Office, while also leading ad-hoc special projects.

  • Assisting with financial tasks such as managing invoices and purchase orders, partnering with leadership and finance teams to monitor and analyze departmental budgets and expenses.

What we look for

  • 2-4 years of relevant administrative experience

  • Ability to work independently as well as across various teams

  • Experience at a rapidly growing company, with the ability to navigate and thrive in a fast-paced dynamic environment

  • Working knowledge of Google Suite, Microsoft Office, Zoom, and expense management and travel management softwares

  • Strong work ethic, professionalism, confidentiality, and good judgment

  • Ability to deal with conflict as well as give and receive feedback diplomatically

  • Highly organized and resourceful, able to juggle and multi-task, with acute attention to detail and follow through
