Job description

Base salaries are determined during our interview process, by assessing a candidate’s experience, skills against internal peers and against the scope and responsibilities of the position.

 

Responsibilities: Onboarding New & Takeover 401(k) and 403(b) Plans

  • Facilitate onboarding process with Recordkeeper partners includes:
    1. Status Calls - recurring status calls with Recordkeeper, Advisor and Client
    2. Provide Data / Forms to Recordkeeper – includes executed plan documents / plan provisions and fees for participant fee disclosure and access, authorization and workflow forms
    3. Payroll File - facilitate payroll training with Pentegra team, Client and/or payroll provider
    4. Census – request current census from client and reconcile conversion census records to most recent Valuation Report, update Recordkeeper system, as applicable
    5. Outside Assets – gain access and/or connect assets outside of Recordkeeper, including residual assets with a put option, frozen assets or participant-controlled 403(b) assets 
  • Plan Asset Conversion from prior recordkeeper/custodian – facilitate preparation of black out notice, QDIA notice, participant fee disclosures as needed, gather data and facilitate interim valuation, request additional information as needed (e.g., participant loans), monitor progress and keep interested parties updated
  • Facilitate setup of Pentegra internal systems
    1. Confirm / request most recent plan data and confirm fees, including reviewing Sales proposal and executed Service Agreement
    2. SalesForce (CRM and Task Management) system setup – including requesting missing plan and client data, enter plan information, contacts, employee roles, investment information, types of plan provisions and services and uploading executed plan documents, fees, actual assets converted, actual participant count
    3. Billing System setup – including confirming deduction of fees setup at Recordkeeper, if applicable, and setup of Recordkeeper information and individual fees
    4. Relius Admin (Compliance System) setup – including plan provisions and other workflow required fields
  • Plan Documents - conduct Plan Document Call with applicable Pentegra teams, Advisor and Client, including plan design consulting and determination of Client’s ability to report plan provision data on a file to Recordkeeper
  • 3(16) Education Calls - conduct client education call with applicable Pentegra teams, Advisor and Client, reviewing responsibilities of tasks and duties, as well as setting expectations when plan is transitioned to the Pentegra 3(16) Operations team
  • 3(16) Mailings – initial enrollment and notice mailing to participants; additional necessary mailings while plan remains in Client Transition 
  • Compliance items while in Client Transition – confirm RMDs processed timely, required notices provided timely, required tax forms extended and/or filed timely
  • Segregated or Pooled Investment Account setup for any plans using this type of investment

Internal Conversions & Plan Changes

  • Perform all aspects of internal conversions and changes that involve product or service changes for existing clients in our own systems as well as the Record-keepers. 

Requirements:

  • Bachelor’s Degree
  • Min 8+ years of industry experience 
  • Customer focused (internally and externally)
  • Advanced understanding of a plan document and basic plan provisions (i.e., contribution types, eligibility requirements, distributions and vesting) 
  • Advanced understanding of basic regulatory guidelines governing retirement plans, including awareness of key compliance dates for government rules
  • Understands basic investment related information 
  • Strong computer & technical skills a must, including the ability to understand logic for           various applications used, and the ability to manipulate and reconcile assets and records
  • Excellent communication skills both verbal and written; able to communicate effectively with senior level management
  • Effective time management skills and the ability to prioritize and meet deadlines in fast paced environment
  • Creative and collaborative problem resolution and ability to work effectively as part of a team
  • Ability to reconcile assets and records.
  • Multiple Employer Plan experience a plus
  • Knowledge of SunGard Relius, Pension Pro and Salesforce experience a plus
