Responsibilities:

Onboarding specialists welcome newly hired employees to Northside Hospital and assist them with completion of all pre-employment requirements. The onboarding specialist ensures a seamless transition from the recruitment process through clear and accurate communication ensuring that the new hire remains engaged during the onboarding process and successfully completes orientation. Onboarding specialists facilitate background checks, I-9s, and completion of all required forms. Onboarding specialists collect education and employment documents, review job description requirements and records accurate information in the Applicant Tracking System (iCims) and the Human Resources Information System (Ultipro). Onboarding specialists provide new hires with a high level of customer service, demonstrating resourcefulness when resolving problems and strive to meet all department performance measures.

 

PRIMARY DUTIES AND RESPONSIBILITIES

  1. Effectively communicate onboarding processes, procedures, and updates to new hires, recruiters and other HR partners
  2. Collects and processes confidential new hire information and paperwork, including education and employment documents, I-9 employment eligibility documents, background check reports, employee health clearance status, licenses, certifications and other credentials
  3. Demonstrates strong customer service and problem solving skills, via phone and email
  4. Monitors completion of all pre-employment requirements to ensure the new hire is able to attend orientation, as scheduled
  5. Compares background check report results to job description requirements to ensure compliance
  6. Maintains records and documentation related to the onboarding of employees to comply with legal and company standards
  7. Escalates concerns related to background checks, document authenticity and compliance to Onboarding Team Leadership and HR partners
  8. Audits new hire data for accuracy in the ATS and HRIS systems
  9. Basic knowledge of the state, federal or local Employment/labor laws and regulations.
  10. Proficient in the use of Applicant Tracking Systems, Human Resource Information Systems, Microsoft Office applications
Qualifications:
  1. High School Diploma or equivalent (GED).
  2. Two years of Human Resources or Customer/Client facing clerical experience

PREFERRED:

  1. Bachelor Degree from an accredited college or university.
  2. Two years of Human Resources or Customer/Client facing clerical experience
Work Hours:: 7:30am-4:00pm- Weekend Requirements:: No On-Call Requirements:: No
