About the role…
The Human Resources Assistant provides comprehensive administrative support to the Senior Director and Human Resources department, ensuring the delivery of high-quality, confidential services to employees. This role involves managing departmental records, coordinating onboarding processes, assisting with recruitment efforts, and maintaining employee files and documentation. The assistant also serves as a primary point of contact for employee inquiries, manages HR communications, and supports various HR initiatives and events. This is a remote opportunity!
Road Scholar offers a remote-first work environment. The compensation range for this non-exempt hourly position is $21.00 - $24.00 per hour.

Duties and Responsibilities
Administrative Support:
- Manage the department calendar, prepare correspondence, and coordinate meetings and employee events
- Maintains departmental files, forms, and electronic employee records, ensuring accuracy and confidentiality.
- Process and update employee’s personal information in our HRIS database.
- Coordinate travel and hotel accommodations for HR staff as needed.
- Order business cards for assigned departments and manage milestone anniversary programs, onboarding gifts, and special occasion acknowledgments (e.g., sympathy flowers and baby baskets).
Onboarding & Employee Records:
- Coordinate the electronic onboarding process for new hires, ensuring timely completion of forms, documents, and background checks.
- Complete and verify Form I-9 documentation, maintaining compliance with regulatory requirements.
- Conduct or assist with new hire orientation.
- Perform periodic audits of HR files and records to ensure proper documentation is maintained.
Employee Support:
- Provides “receptionist-like” services for the department, managing the general department inbox and responding to employee inquiries professionally and helpfully.
- Answer frequently asked questions about standard policies, benefits, and hiring processes, escalating complex issues as needed.
Talent Acquisition Assistance:
- Support the Talent Acquisition team by, at times, posting open positions, scheduling interviews, and assisting with candidate coordination.
Event Coordination:
- Assist with the planning and execution of HR events, including benefits enrollment, organization-wide meetings, employee recognition events, and holiday parties.
- Conduct focus groups and maintains up-to-date HR blog posts on the company intranet.
Other:
- Assists the Sr. Director of Human Resources and the department with various projects as needed and perform other related and unrelated tasks necessary to support the Human Resources department.
YOU NEED
- 2+ years of experience in an administrative support role, preferable Human Resources
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- 1+ years of experience with HRIS systems preferred. Experience with UKG a plus.
- 4 Year / Bachelor's Degree Preferred
- Experience with calendar management and scheduling.
- Strong organizational and multi-tasking skills with the ability to prioritize effectively.
- Ability to work independently and collaboratively within a team.
- Must be able to maintain a high level of confidentiality and handle sensitive information with top discretion.
- High energy, productivity, and reliability, with a strong customer service orientation.
- A proactive mindset with a commitment to continuous improvement and professional growth.
