JOB DESCRIPTION FOR A MARKETING ADMIN / EXECUTIVE ASSISTANT
Your Responsibilities as a Marketing Admin / Executive Assistant would be:
• Coordinate meetings, appointments, and events for the marketing team, agents, and president.
• Maintain and update calendars to ensure alignment with the team's priorities.
• Establish and maintain strong, positive relationships with partner agents, ensuring they receive the necessary support and information to effectively represent the company.
• Communicate regularly with partner agents to address any questions, provide updates, and ensure smooth collaboration.
• Help facilitate marketing initiatives or campaigns aimed at partner agents, strengthening ties and supporting mutual goals.
• Follow up proactively with internal teams, vendors, and partners to ensure timely completion of tasks.
• Email partners and stakeholders the necessary documents, reports, and information.
• Assist in the coordination of marketing campaigns, events, and initiatives within the partner agents.
• Provide general administrative support, including organizing documents, maintaining files, and preparing presentations.
• Maintain records and databases of marketing materials, partner communications, and other related content.
• Take ownership of tasks and projects, following through to completion without needing repeated reminders.
• Be resourceful, if information or materials are missing, actively research or reach out to colleagues/agents to find what is needed.
• Demonstrate a proactive mindset by anticipating the needs of the team and making decisions that help move projects forward.
• Adapt to changing priorities and handle multiple tasks effectively, demonstrating flexibility in a fast-paced environment.
• Work closely with partner agents and cross-functional teams, including marketing, admissions, and academic departments, to support collaborative projects.
• Help ensure all marketing materials are aligned with the organization's mission, values, and education goals.
Qualifications as a Marketing Admin / Executive Assistant:
• Bachelor’s degree in Marketing, Communications, Business, or a related field.
• 3+ years of experience in a marketing admin, executive assistant, or related role, ideally within the education sector.
• Experience supporting marketing teams, managing multiple projects, and communicating with external partners.
• Strong organizational and time management skills.
• Ability to work independently with minimal supervision, demonstrating self-motivation and initiative.
• Excellent written and verbal communication skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
• Familiarity with CRM systems, email marketing tools (e.g., Mailchimp), and project management tools (e.g., Asana, Trello).
• An understanding of the higher education industry or experience in educational marketing is highly desirable.
• Highly driven and eager to take on new challenges.
• A resourceful self-starter who is comfortable finding solutions through research and asking the right questions when needed.
• Detail-oriented, with the ability to handle administrative tasks accurately and efficiently.
• A positive, proactive attitude with the ability to work well in a collaborative, entrepreneurial environment.
• Problem-solver who can work independently and manage their workload without constant oversight.
