Location: Remote - US/USA
Summary:
As a member of Project Team(s) as assigned, providing support to Project Manager(s), peers, and Project Team(s). Responsible for facilitating project execution plans by completing tasks and other duties as assigned by Project Manager or Install Department Managers. The Project Coordinator provides expanded visibility to the Project Manager of the day-to-day activities of active installation projects.
What You'll Do:
- Project Preparation:
- Assemble and ship installation packets; including, but not limited to the following: site survey documents, installation guidelines, wiring diagrams, site layouts, labor contract, sign off sheets, user training guides.
- Frequency of compiling installation packets will be directly correlated to the project installations.
- Submit equipment order requests as directed by the PM.
- Follow up with the Field Resources on receipt of installation contracts, equipment, installation packets, email communications, and other items required prior to start of physical installation.
- Gather and update project status information in D365.
- Coordinate with Account Liaisons or National Account Managers for additional information.
- Create work orders and/or survey forms for Field Resources and send those packets with complete information.
- Review the project tasks as related to key milestones and seek inputs from Sr. Project Coordinators/Project Managers for any task conflicts.
- Order equipment and follow up with purchasing if there are any back orders or missing tracking information.
- Scheduling:
- Create the work orders for Field Resources.
- Update notes project or survey related request tasks in D365.
- Create bookings to assign techs for each project.
- Coordinate schedules between Field Resources and Designated Project Contact (Ie. Customer, GC, or Other).
- Confirm technicians are onsite or if reschedule is needed.
- Communication & Follow-Up:
- Channel communications effectively at all levels between multiple groups and stakeholders both internal and external to the company.
- Contact Field Resources contracted for active projects on a regular basis as established by the Project Manager (PM) to schedule installations and obtain updates.
- Communicate the status of projects to stakeholders as required by PM, and identified by the Project Coordinator (PC) as the need arises.
- Log all internal and external communications, attempted communications, and other important events for each project must be recorded in real.
- Regular keep up with tasks and updating next steps.
- Signal risks, problem areas, and recommend solutions.
- Accountable to communicate conflicts in workload to PM or other members of install management.
What You'll Need:
- High School or Equivalent Qualification.
- 1-2 years Project Coordinator experience - Preferred
- Time Management Skills:
- Being able to keep the volume of projects and tracking at different stages to provide information.
- Basic Knowledge of Microsoft Office.
- Communication & Interpersonal Skills:
- Able to communicate efficiently with internal and external stakeholders and present yourself well.
