The Global Services Manager is responsible for Office/Region Services Function providing essential business support to ensure smooth operations in the location. This role includes higher-level strategic responsibilities, such as operational excellence, facilities and infrastructure management, governance and compliance, employee wellbeing.

The role will focus on technology-driven automation, cost optimization, and sustainability initiatives that foster an efficient, compliant, and employee-friendly work environment.

We are only considering candidates from Austin, Texas, as the position requires in-office work.

Key Responsibilities

1. Strategy

  • Support strategic vision for the Global Services implementation to enhance operational efficiency and governance in the office.
  • Align operational activities with corporate goals, ensuring a balance between global standardization and regional flexibility.
  • Support regulatory compliance, governance, and administrative operations.
  • Drive sustainability and corporate responsibility programs within the local office in line with the company’s goals.

2. Operational Excellence and Process Optimization

  • Streamline administrative processes to ensure smooth, cost-effective local operations.
  • Utilize digital tools to automate key functions such as document management, communications, travel, and procurement.
  • Continuously improve governance structures, ensuring efficient and consistent operations within the office.

3. Facilities and Infrastructure Management

  • Oversee office facilities, managing lease, real estate, and work environment.
  • Partner with the local HR Engagement partner to ensure safe, efficient, and comfortable workspaces that foster employee well-being and productivity.

4. Governance and Regulatory Compliance

  • Ensure corporate governance structures comply with all relevant local and international regulations.
  • Maintain up-to-date local legal documentation and regulatory policies.
  • Lead risk management, business continuity planning, and crisis management strategies within the location.

5. Employee Well-being and Support

  • Foster a positive work environment by providing resources and facilities that support employee satisfaction and productivity.
  • Promote local initiatives focused on workplace safety, health, and well-being.

6. Programs 

Global Service Manager will lead one or several of the following Programs

  • Credit Cards
  • G&A Communications

Operational Efficiency:

  • Administrative processes are streamlined, digital tools are implemented, and operations run with minimal disruption.
  • Facilities management is optimized, with measurable cost savings.

Governance and Compliance:

  • Full adherence to regulatory standards, local legislation and internal governance policies.
  • Effective crisis management and business continuity plans in place, minimizing risk.

Cost Optimization:

  • Corporate administration costs (facilities, travel, procurement) are efficient and meet business requirements.
  • Vendor management is streamlined for economies of scale and efficiency.

Employee Well-Being and Satisfaction:

  • Positive employee feedback on work environment and access to resources.
  • Health and safety measures exceed compliance requirements.

Global Standardization with Local Flexibility:

  • Successful implementation and adaptation to the office needs of standardized governance practices and administrative processes.

Sustainability:

  • Quantifiable support of local communities (e.g., VTO) and environmental sustainability efforts (e.g., energy use, waste management).
  • Achievement of the local part of the Corporate Social Responsibility (CSR) goals.

Qualifications and Experience

  • Bachelor's degree in business administration, Management, or a related field
  • 5-10 years of experience in administrative management or a related role (experience in a leadership position preferred).
  • Expertise in optimizing administrative processes, streamlining workflows, and reducing inefficiencies for smooth day-to-day operations.
  • Strong verbal and written communication skills, with the ability to coordinate across departments and interact with senior leadership and external stakeholders.
  • Ability to effectively solve operational challenges.
  • Proficiency in administrative tools, digital platforms (ERP, office management, project management tools), and systems to enhance process automation and efficiency.
  • Experience in managing office facilities, including space planning, safety compliance, and vendor relationships, ensuring a well-maintained and efficient office environment.
  • Understanding of corporate governance, health and safety regulations, and other compliance requirements relevant to administrative operations.
  • Strong financial management skills, including experience with budgeting, procurement, and cost control for administrative functions.
  • Proven ability to manage projects from initiation to completion, ensuring successful implementation of administrative initiatives, office improvements, or technology upgrades.
  • Experience in transformation within administrative functions, adapting to evolving organizational needs and managing risks effectively.

 

Salary Range:

  • The anticipated base salary range for this position is between $75,000 and $90,000. Base salary ranges may vary by geographic location and relevant experience, education, certifications, and seniority as compared to others doing substantially similar work. There is no guarantee an offer will be at the top of the posted range based on the salary analysis.
