About the Opportunity
The Associate, Event & Special Projects will play a vital role in supporting the Director of Events and the broader events team in the planning, execution, and evaluation of various events. This position encompasses responsibilities related to digital event management, onsite support, coordination of team meetings, and inventory management.

Core Responsibilities
Event Management
- Digital Events: Manage and support virtual events on platforms such as Zoom, ensuring smooth operation and troubleshooting as needed. Familiarity with Zoom settings, breakout rooms, and language interpretation tools is essential.
- Badge Printing & Onsite Registration: Ensure that badge printers are operational and manage the onsite registration process effectively.
- Event Research: Conduct research on potential event venues, formats, and technologies to support the planning process.
- Assist with Special Projects: Provide support for additional projects and tasks as assigned by the Director of Events.
Coordination & Communication
- Meeting Coordination: Organize and schedule internal team meetings and events, taking notes and sending out follow-up communications.
- Weekly Updates: Create and distribute a weekly events update email/newsletter that includes upcoming events, calendar updates, and important links.
Calendar & Inventory Management
- Events Calendar: Maintain the initiative’s events calendar, ensuring visibility for team members. Regularly update and verify the accuracy of event resumes linked to the calendar.
- Inventory Tracking: Oversee the management of event collateral and inventory, utilizing Airtable for tracking and maintaining organization of supplies.
- Shipping Coordination: Oversee shipping logistics for event materials, coordinating with staff and couriers to meet timelines.
Internal Support & Collaboration
- Cross-Departmental Communication: Work closely with the Marketing and Communications team to ensure the alignment of branding and messaging for events.
Minimum Qualifications
What we’re looking for:
- Bachelor’s Degree
- At least 2 years’ professional experience in the field required; background in events preferred
- Strong computer skills, especially Word, Excel, PowerPoint, and MS-Project or similar project management program.
- Ability to work in a varying schedule including nights, early mornings, weekends and holidays.
- Ability to travel domestically and internationally, and work on multiple time zones, as necessary
Compensation & Benefits
Our best estimate of the compensation range for this opportunity is $47 - 52K annually, depending on the experience you bring. This role is eligible for overtime pay. This range is based on NYC market rates and may be adjusted if you will be working remotely.
