Job Overview:
Minga Education Group is seeking a detail-oriented, organized, and proactive Administrative Assistant to join our team. This part-time position, 10-15 hours per week, will support our leadership by providing administrative and clerical assistance. The ideal candidate will be experienced in handling a wide range of administrative tasks and be able to work independently with little supervision.
Responsibilities:
- Calendar Management: Coordinate and maintain the executive’s calendar, scheduling appointments, meetings, and events, ensuring that time is allocated effectively.
- Document Creation and Organization: Prepare, edit, and organize various documents, including reports, correspondence, and presentations. Ensure documents are accurate, properly formatted, and organized in a system for easy retrieval.
- Communication: Serve as a point of contact between the executive team and internal/external stakeholders. Screen and direct phone calls, emails, and other forms of communication, ensuring prompt follow-up and accurate information flow.
- Time and Effort Recording: Accurately track and record the executive’s time and effort, assisting in the preparation of reports and ensuring proper time allocation for projects and tasks.
- Meeting Support: Prepare meeting agendas, take detailed meeting minutes, and distribute action items and follow-up tasks. Ensure meetings run smoothly and follow-ups are completed.
- File and Data Management: Organize and maintain both electronic and physical files, ensuring records are easily accessible and securely stored. Assist in data entry and database management as needed.
- Task Management: Monitor ongoing projects and tasks, helping to prioritize the executive’s workload. Assist with personal and professional task organization to ensure deadlines are met.
- Office Coordination: Order and maintain office supplies, coordinate shipments/business mail, and assist in the smooth operation of the office environment.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.
Desired Qualifications:
- Experience as an administrative assistant or in a similar role.
- Excellent organizational and multitasking abilities.
- Strong verbal and written communication skills.
- Proficiency with office software (e.g., Microsoft Office Suite, Google Workspace).
- Ability to work independently with minimal supervision.
- Attention to detail and problem-solving skills.
- Ability to maintain confidentiality and manage sensitive information.
- Excellent communication and interpersonal skills.
- Strong analytical and problem-solving skills.
- Ability to work independently and as part of a team.
Hours and Compensation:
- This is a part-time position, 10-15 hours per week, with a compensation range of $15.00-$19.00/hour, depending on experience and skill set.
- Sick Time Accrual (1 hour for every 30 hours worked)
