Summary of Job Duties:
The Housestaff Program Manager is responsible for all aspects of hiring, advancing and terminating residents and fellows. This person is the liaison between the Housestaff Office and Human Resources for 700+ residents and fellows. The Housestaff Program Manager works with GME program leadership/staff to include program directors, associate program directors and program coordinators for 65 training programs. This position requires an individual who can independently identify and solve issues that arise during the course of business.

Qualifications:
  • Bachelor’s degree plus four (4) years of project/program management experience with a focus on finance, healthcare or education required.

  • Notary Public preferred.


Additional Information:

Responsibilities:

  • Processes Housestaff transactions (e.g., payroll, terminations, leaves) in Workday.

  • Creates IDTs in Workday for office operations (e.g., supplies, ACLS training).

  • Enters purchase orders in Workday, adhering to procurement guidelines.

  • Maintains financial records.

  • Manages Housestaff Medicaid enrollments and ensures new members receive pin numbers.

  • Acts as liaison with Gainwell Technologies and UAMS Housestaff Office.

  • Troubleshoots Medicaid prescribing issues and provides technical assistance.

  • Prepares contracts and oversees offer letters and onboarding documentation for new hires.

  • Verifies medical credentials, manages onboarding compliance, and coordinates with relevant stakeholders.

  • Enters data for DEA, Medicaid, NPI numbers, and building access badges.

  • Trains program coordinators on onboarding and partners with immigration office on visa issues.

  • Oversees Housestaff advancement processes, including contract renewals and documentation.

  • Coordinates annual advancements, program transfers, and provides training to coordinators.

  • Manages advancements in the Housestaff Database.

  • Approves GME clearance for departing Housestaff and manages clearance documentation.

  • Coordinates with partner offices (e.g., Medical Records, library) and issues final certificates.

  • Manages transfer processes for Housestaff moving to faculty positions.

  • Liaises with vendors and university offices for lab coats, parking, and security.

  • Provides customer support for Housestaff benefits and acts as a notary.

  • Attends meetings and manages Housestaff data collection and record archiving.

  • Uses residency management software for records maintenance.

  • Prepares reports and special projects for COM Dean’s Office and stakeholders.

  • Performs other duties as assigned.
