The Opportunity

We are seeking an enthusiastic and versatile Office and Executive Support Coordinator to join our HR team at our Boston headquarters. This full-time, in-person, salaried position is based at the beautiful 53 State Street office building, located in the heart of the city.

As an Office and Executive Support Coordinator, you will play a pivotal role in supporting our growing team, gaining exposure to various departments, including Administration, Marketing, and HR. Responsibilities

The Office and Executive Support Coordinator will be required to consistently demonstrate the following:

  • Order and maintain stock of office and kitchen supplies, including consumables (snacks, sodas, coffee, tea, etc.).
  • Maintain the general upkeep of the office ensuring cleanliness and organization.
  • Greet guests and facilitate meetings by coordinating the space, catering, and technical/AV support as appropriate.
  • Coordinate office maintenance, repairs, and renovations when needed.
  • Act as a main point of contact for the property management team and address any needs related to building operations.
  • Manage the security of the office through communicating with the building security, sending visitor passes, and creating access badges for new employees.
  • Provide access to building amenities by managing gym access and parking passes.
  • Consistently check mail, scan, and send to appropriate parties.
  • Assist with calendar management and scheduling meetings for C-suite executives.
  • Respond to emails in a timely and professional manner.
  • Coordinate executive lunches/dinners.
  • Maintain Marketing, IT, and HR inventory, ordering new supplies when needed.
  • Assist Marketing team with events, campaigns, and/or other tasks when needed.
  • Work with the HR Team to ensure successful initiatives.
  • Oversee FedEx, DHL, and UPS accounts to manage mail/package deliveries, working closely with the Marketing, HR/Admin, and IT Teams to support inbound and outbound, international, and domestic shipments.

Requirements

  • College graduate with 0-1 years of administrative or office experience in a corporate environment.
  • Ability to travel and work at our Boston office 5 days a week.
  • Familiar with Microsoft Outlook, Excel, Word, and PowerPoint.
  • Someone who is interested in learning and growing their professional career in a fast-paced, dynamic environment.
  • Exceptional communication and interpersonal skills.
  • Strong attention to detail and organizational skills.
  • Reliable and dependable.
  • Ability to interact with internal staff and external visitors/partners in a professional and pleasant manner.
