Job Description

Key Responsibilities:

  • Pick Up 27 and manual order processing. Send AS400 orders to Transporter #9999 (DHL) for non-integrated accounts.
  • As soon as you complete Pickup 27, Check the Master Data View Dashboard and correct any pickup locations and orders.
  • Enter any manual orders in AS400 throughout the day
  • Every two hours, beginning as soon as you complete your Pickup 27, Client Operations Dashboard needs to be monitored.
  • Anything Escalated to Client Success needs to be reviewed. If you need to reach out to the client you will Escalate the Order to the Client and contact them as you normally do and put the order on Hold with an Exp Date. If you can resolve the issue on your own, you will de-escalate the order, remove the hold and push it out of Verify. If it needs to be re-verified, you can Escalate to DHL. This step allows you to track what you have reached out to the client for, what you haven’t and allows you to monitor when you need to follow up again.
  • When Escalations are resolved, you need to De-Escalate the unit, remove the hold and push out of Verify if it is ready to go.
  • Not Escalating to DHL if we can just push out of verify
  • Units that are Escalated to Client need to be monitored for hold release dates. If the hold has expired, do we need to follow back up with Client and if so – extend hold release date.
  • Monitoring and actioning AutoIMS emails – Trans Delay Holds, Cancellations, ETA’s
  • Following Up on Escalations
  • Fees
  • Hold Harmless/Releases
  • Unit Not There
  • Can’t contact p/u location
  • Monitoring Enrichment Failures throughout the day and correcting ASAP
  • Monitoring and correcting RP’s Less than $1 on the View Module in the Client Ops Dashboard
  • Monitoring and correcting Master Data issues – pickup locations that do not have a pickup location type associated with them.
  • Monitoring flow of inventory – making sure vehicles are moving through the processes.
  • Measuring performance – looking at analytics for clients
  • Monitoring units on Spot and identifying carriers that may move that inventory to assist DHL getting up to speed with carrier knowledge.
  • Compile vehicle transportation related data and generate reports
  • Follow all job-related duties as directed by supervisor
  • Contact customer to determine vehicle availability and condition
  • Schedule vehicle pick-up and delivery with customer and transporter
  • Reconcile any transporter related issues that may arise
  • Notify customer account representatives and transporter of any relevant vehicle transportation related issues
  • Monitor and report on customer compliance and transporter performance

Required:

  • High School Diploma/GED and 5 years’ experience in a related field. The right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline and 3 years’ experience; or 7 years’ experience in a related field
  • 1-3 years administrative experience (in automotive industry preferred)
  • Working knowledge of computer usage including Microsoft Excel, Outlook, and Word
  • Ability to work independently in a matrix environment to execute and deliver results
  • Excellent customer service and multi-tasking skills
  • High attention to detail including precise data entry
  • Excellent written and verbal communication skills
  • Ability to work with a high sense of urgency in a dynamic, fast-paced environment
  • Valid drivers license and the ability to pass a background check and drug test required.
