Location: Fully remote, EST with ability to travel 1x per quarter

Job Type: Contract through end of 2025 with potential for extension

Compensation Range: $40-50/hr W2

We are seeking a highly organized and proactive Creative Operations Coordinator to join our client's team. In this role, you will manage the operational aspects of the creative department, ensuring efficient resource allocation, tracking, and utilization. You will work closely with the Creative Director and Studio Lead to maintain seamless operations and identify opportunities for process improvements within our client's in-house agency.

Responsibilities:

  • Manage all Creative resourcing. Track, organize and prioritize all incoming requests for resourcing and provide timely staffing plans and solutions, including initial project staffing, coverage and support plans.
  • Manage and track all Creative resource allocations and utilization maintenance.
  • Constantly check in with individuals/team leads to monitor their projects and update allocations to accurately reflect any changes, accounting for any scope or timeline changes.
  • Identify when resources are not available and freelance support is needed. Work through the proper channels to obtain approval for bringing on external resources with Studio Lead.
  • Manage and maintain an updated Talent Roster grid-frequently checking in with our top bench resources for availability and noting it for reference.
  • Constantly work with the Creative Director (CD) and Studio Lead to identify talent or level gaps in our talent pool and actively search for additional freelancers to add to our roster.
  • Proactively identify and act on opportunities for operational improvements.
  • Assist Studio Lead in the assessment, design, and implementation of group processes, policies, and procedures across the in-house agency. Put together action plans to make the changes necessary.
  • Generate reports and analyze data to assess in-house agency effectiveness, operational performance, and to support decision-making using PM tool.
  • Capture and analyze team metrics on a weekly and monthly basis.
  • Organize and lead monthly operations meetings.
  • Maintain high utilization of the contracted resources by managing overtime and the use of flexible staff to cost effectively meet department needs.
  • Responsible for ensuring proper job intake-that project scopes are clearly defined with proper job specifications, estimates and timelines.
  • Manage all talent onboarding to ensure successful training when new people join the team.
  • Monitor and track project processes/statuses and create reports for the CD and Studio Lead, raising flags when necessary and identifying trends for discussion.
  • Own and manage equipment allocation (partnering with Studio Lead), including software subscriptions and management, hardware needs and equipment maintenance.
  • Coordinate with external vendors and agencies to manage contracts, deliverables, and invoices.
  • Assist in the management of marketing budgets, ensuring that expenditures are within allocated limits.
  • Responsible for testing some software functionality along with supporting and aligning stakeholders.
  • Build strong relationships with the Creative team through a strong presence and frequent communication.
  • Address and resolve any cross-functional issues or conflicts that impact operations.


Qualifications:

  • Bachelor's degree in marketing, Business Administration, Operations Management, or a related field.
  • 2-4 years of experience in an operations coordination role, within a pharmaceutical advertising environment.
  • Familiarity with pharmaceutical industry regulations and compliance requirements
  • Proficiency with Veeva and Wrike, including experience in project tracking, data management, and reporting.
  • Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.
  • Excellent communication and interpersonal skills, with a proven ability to collaborate effectively with cross-functional teams.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Strong analytical skills with experience in data analysis and reporting.
  • Additional Skills:
