We need an English-fluent Administrative Assistant, based in Latin America, available to work remotely.

We are looking for someone with exceptional communication and relationship-building skills, who embraces changes while maintaining strong attention to detail. An interested and proactive person, who's constantly learning and improving their skills.

Responsibilities:

  • Help clients fill out forms to obtain a gun license, and manage the submission of documents to required authorities
  •  Assist client's application process (mainly  NYC residents).
  • Track and manage leads, ensuring timely follow-ups and communication.
  • Coordinate appointments (e.g., fingerprinting) and upload necessary documents to platforms such as Dropbox.
  • Record client information and update necessary documentation as required.
  • Provide ongoing support to clients, including answering questions and troubleshooting.
  • Ensure documents are submitted and uploaded promptly to meet deadlines..
  • Proactively handle and organize day-to-day administrative tasks.
  • Work with data entry and document management systems.
  • Monitor email communications, send standardized responses, and escalate essential messages to the appropriate individuals.
  • Assist the company with admin related tasks -backoffice - (phone calls, emails, etc).

Requirements:

  • 1+ years of experience minimum as an Admin Assistant, Secretary, or Appointment Setter.
  • Proficient English skills (C1-C2 level).
  • Proficient Microsoft Office (Excel, Word, Outlook, Teams) and cloud-based systems like Dropbox.
  • Ability to manage calendar scheduling and coordinate meetings.
  • Strong attention to detail and ability to multitask.
  • Experience working with confidential documents.
  • A reliable Windows 10 computer capable of running Office 365 and other necessary software.
  • Dependable Internet Connection and Quiet Working Space.
  • Availability to work on  EST business hours.

Compensation:

  • The Salary range offered for this position varies from (USD) $1,000 - $1,500 per month, depending on seniority and skillset.
  • Initial 3-month trial period with the intention to offer a long-term position based on performance.
  • This position is for an independent contractor, through a payroll platform.
  • The talent will work REMOTELY allocated at our client.
