POSITION SUMMARY:

The Program Manager of Position Control will report to the Senior Manager of Workforce and Productivity to execute end user support and maintenance of BMC’s workforce management approach. He/She will work collaboratively with the Senior Manager as well as colleagues across finance, clinical, and non-clinical functions to ensure BMC’s workforce management goals are met. The Program Manager of Position Control will manage the weekly position control process, including working with department managers to ensure they’re supported, collecting/consolidating updates in relation to requisitions, and following up when necessary, after senior leadership review. In addition, He/She will be responsible for taking meeting minutes, tracking follow-ups, and meeting all other administrative needs of the workforce management processes.

ESSENTIAL RESPONSIBILITIES / DUTIES:

  • The individual manages the agenda for and participates in meetings and committees that include discussion about strategic and operational workforce planning in relation to position control.
  • Takes meeting minutes, tracks follow-ups, sends calendar invites, and meets all other administrative needs of the labor-management processes in relation to position control.
  • Manages the weekly position control process, including working with department managers to ensure they’re supported, collecting/consolidating updates in relation to requisitions, and following up, when necessary, after senior leadership review.
  • Responsible for ensuring data reports from Workday are shared as needed.
  • Tracks open requisitions against current department productivity and budgeted FTEs.
  • Completes weekly Position Control file that is to be shared at the Hospital Finance Review Committee (FRC)
  • Support managers with analysis and administrative help as needed.
  • Develops understanding of Boston Medical Center (BMC) data, including human resource, productivity and hospital budgets.
  • Works closely with HR to ensure HR systems support the needs of the position control process.
  • Partners with HR colleagues on the wage increase, promotions and bonuses process.
  • Project manages ongoing and new projects in relation to Position Control goals.
  • Provides analytical and technical support for Senior Manager, Workforce and Productivity to help drive effective labor management.
  • Completes slides as necessary for labor meetings in relations to position control work.
  • Tracks and reports out on relevant metrics in relation to position control, for example tracking newly approved positions that were not in current years budget.
  • Assists hospital managers and directors in navigation and use of Workday in relation to the Position Control form process.
  • Assists in training and development of training materials for Position Control initiatives and processes.

JOB REQUIREMENTS

EDUCATION & EXPERIENCE:

  • Bachelor’s degree required. Finance degree or healthcare degree a plus.
  • At least 3-5 years in a healthcare environment in an analyst or human resource role preferred, which involves managing discrete processes end-to-end, collaborating with clinical and non-clinical hospital stakeholders, and detailed project tracking/management
  • Experience with clinical and non-clinical operations preferred
  • Experience with data analysis preferred
  • Experience with project management and administrative tasks preferred
