Job description

Job Overview

As an Executive Assistant, you will play a pivotal role in providing crucial administrative support to both the Chief Information Officer and the Chief Medical Information Officer. Your responsibilities will encompass coordinating meetings and collaborating with high-level leadership to facilitate the smooth execution of strategic projects and daily functions within the Digital team.

Key Responsibilities

  • Manage intricate calendars, ensuring timely scheduling and notifications for meetings and appointments.
  • Utilize independent judgment to prioritize assignments and propose alternatives for meeting arrangements.
  • Work closely with administrative colleagues across the organization to arrange challenging meetings with senior executives and leaders.
  • Guarantee efficient organization of meetings, adhering to stipulated deadlines, and promptly communicate any changes to schedules.
  • Coordinate travel plans and prepare necessary expense reports as required.
  • Provide precise meeting logistics for attendees, including relevant location details and directions.
  • Arrange setup for conference rooms and technical support (e.g., projectors, teleconferencing) and prepare meeting documentation such as agendas and presentations.
  • Assist in onboarding new employees by preparing workspaces, IDs, security access, and required equipment; manage scheduling for orientation sessions.
  • Aid in the creation and distribution of communications for departmental staff.
  • Support with correspondence, filing, phone coverage, and the routing of mail as needed.
  • Oversee timekeeping for PTO schedules and act as a backup for other timekeepers.
  • Assist in managing departmental distribution lists.

Required Skills

  • Proficiency in Microsoft Office Suite (Excel, Word).
  • Exceptional organizational and interpersonal skills.
  • Strong capabilities in calendar management and scheduling.
  • Ability to prioritize tasks effectively and create presentations.

Qualifications

  • A minimum of 2 years of experience in an executive support role or a similar capacity.
