Job Title: Business Process and System Administrator
Department: People Experience (PE) Team
Reports To: VP, People
FLSA Status: Full-time
Salary Target: $65,000
Location: Remote/Hybrid

Summary:
The Business Process and System Administrator on the People Experience team is responsible for maintaining and optimizing core HR systems, including HiBob and Greenhouse, to ensure efficient operations and recruitment processes within the organization. This role manages system updates, conducts regular audits to ensure data accuracy and integrity, supports recruiting coordination through various onboarding initiatives, and develops process documentation. Additionally, the position provides cross-functional collaboration and administrative support to streamline business processes across the organization.

Key Responsibilities:

Systems Management & Maintenance: (60%)

  • HiBob System:
    • Oversee employee profile management, including onboarding, updates, promotions, and terminations.
    • Ensure accurate system updates for compensation adjustments, leave of absence (LOA) processing, and deprovisioning.
    • Manage workflow planning, ensuring smooth execution of onboarding and employee lifecycle tasks.
    • Collaborate with IT and HR teams to resolve system-related issues, implement updates, and manage system integrations.
  • Greenhouse System:
    • Administer employee onboarding, ensuring training for hiring managers and employees.
    • Manage and update workflows for recruitment and onboarding processes within the system.
    • Generate and analyze recruitment reports, providing insights to optimize hiring processes.
  • System Enhancements:
    • Support the rollout of future tools and system innovations planned for late 2024 and early 2025.
    • Assist with the development of new modules and systems, including a compensation module in HiBob.

 Audits & Data Integrity: (10%)

  • Conduct regular system audits for HiBob and Greenhouse to maintain accurate and up-to-date records.
  • Cross-verify data across systems and resolve discrepancies, ensuring compliance with internal standards.
  • Maintain an audit tracker, implement corrective actions, and recommend improvements based on findings.

Reporting & Data Analytics: (10%)

    1. Generate reports from both HiBob and Greenhouse to support HR and recruitment metrics tracking.
    2. Analyze system data to identify trends, streamline processes, and recommend improvements.

Onboarding Support: (5%)

  • Organize and coordinate onboarding and new hire events 
  • Ensure seamless integration of new hires and internal promotions into the HiBob system.

 Standard Operating Procedures (SOPs): (5%)

  • Develop, update, and maintain SOPs and Scribe tutorials related to system workflows and HR processes.
  • Ensure SOPs align with internal standards, industry best practices, and regulatory requirements.

 Cross-Functional Collaboration: (5%)

  • Work closely with HR, IT, recruiting teams, and people leaders to streamline processes and troubleshoot issues.
  • Act as the point of contact for system-related queries, providing timely resolutions.
  • Participate in cross-departmental meetings to contribute to organizational goals and initiatives.

 Administrative Support & Miscellaneous Tasks: (5%)

  • Provide administrative support, including HR-related tasks, expense report processing, and handling ad-hoc requests.
  • Facilitate training sessions and internal communication around system updates, processes, and best practices.
  • Assist with special projects as assigned.

 

Qualifications:
  • Education:
    • Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
  • Experience:
    • 2+ years of experience in HR operations, business process management, or system administration.
    • Experience with HRIS systems, specifically HiBob and Greenhouse, is required.
  • Skills & Competencies:
    • Strong analytical skills with high attention to detail and a focus on data integrity.
    • Proficiency in MS Office Suite and HR software.
    • Ability to manage multiple tasks in a fast-paced environment and meet deadlines.
    • Excellent communication and collaboration skills.
    • Ability to work independently while contributing to team goals.

For this role specifically, we are targeting a salary range of $60,000 - $65,000 where the difference in salary is typically determined by several factors, including geography in which the selected candidate resides, and alignment with qualifications and experience.
