Your missions

Description

We are seeking a dedicated individual to provide high-level administrative support to Directors or Executives. This role is critical in ensuring smooth daily operations and involves a variety of administrative tasks. The position allows for flexibility, offering the opportunity to work both remotely and from an assigned location.

Key Responsibilities

  • Calendaring, Scheduling & Meeting Logistics: Efficiently manage calendars, coordinate meetings and conference calls, and ensure meeting logistics are handled smoothly.
  • Written & Oral Correspondence: Draft, proofread, format documents, assist with phone communications, manage emails, and ensure timely resolution of inquiries.
  • Referring, Delegating & Tracking: Refer or delegate questions, follow up on open items, communicate progress, and monitor action items.
  • Documentation & Records Management: Prepare reports, presentations, maintain organized documentation, and manage information distribution.
  • Travel & Event Coordination: Manage travel logistics, arrange conference facilities, and ensure adherence to travel guidelines.
  • Office Supplies & Equipment Management: Order supplies, arrange for maintenance, and ensure smooth office operation.
  • Financial & Budget Assistance: Process invoices and expense reports, manage budgets, and ensure adherence to policies.
  • HR, Safety, & Compliance Support: Handle HR tasks, track participation in training, and assist with asset-related tasks.
  • Presentation & Reporting: Assist in creating presentations, manage data reporting, and ensure timely information dissemination.
  • Backup Support: Provide support to other Executive Assistants and take on additional responsibilities as needed.

Qualifications

  • High School Diploma required; Bachelor's or Associate degree preferred.
  • Minimum of 4 years of administrative support experience, with at least 1 year supporting Director-level leadership preferred.

Other Details

This position operates in a hybrid format, with a mix of remote and in-office work. The location of the headquarters is flexible, and periodic in-person meetings or events may be required based on business needs.
