Your missions

General Summary

We are seeking a dynamic and organized Administrative Assistant to provide essential support to our department and coordinate various communications activities. This role is pivotal in ensuring smooth operations and effective communication within our team.

Responsibilities

  • Content Creation and Management: Create and update content and templates for electronic communications. Review email bulletins and publish updates as directed.
  • Document Management: Prepare, edit, maintain, and file various documents. Distribute documents as directed.
  • Meeting Coordination: Schedule meetings and maintain meeting calendars. Coordinate and update corporate events and fundraising calendars.
  • Communication Support: Route inquiries and issues to appropriate department personnel. Develop media lists, monitor news coverage, and assist with press releases and media outreach activities.
  • Database Management: Create and maintain databases containing various information regarding communications documentation and files.

Experience

  • Work Experience: Generally requires 2-4 years of work experience.
  • Location: Remote or hybrid role, with the ability to work during Eastern Standard Time (EST) hours.
  • Education: A high school diploma is required, with a minimum of 5 years of relevant experience.
  • Background: Preferred background in Learning & Development or Communication Change Management.
  • Content Creation: Experience in creating brochures, social media content, and other resources. Participation in podcast Q&A sessions is also expected.
  • Program Promotion: Responsible for posting about open programs.
  • Technical Skills: Proficiency in SharePoint is essential. Experience with Adobe, Canva, and/or Veeva is highly desirable. Knowledge of AI is very helpful.
  • Updating Information: Assist with updating information as well as creating new content.

Skills

  • Facilitation: Strong facilitation skills to ensure smooth communication and coordination.
  • Marketing and Branding: Strong experience in marketing or branding to support our communications efforts.
  • SharePoint: Proficient in using SharePoint for document management and collaboration.

  • High School Diploma
