Description

POSITION: Assistant to the Director of Child & Family Support Services 

HOURS PER WEEK: 37.5/week, Full Year

LOCATION: Vernon Street, Northampton

STATUS: Non-Exempt  

SUPERVISOR: Director of Child & Family Support Services


POSITION SUMMARY

Reporting to the Director of Child and Family Support Services, provide overall administrative support to the Department. Ensure high quality services through record keeping, monitoring, tracking, organization and coordination of various activities, child screening and more.


ESSENTIAL RESPONSIBILITIES

  1. Provide administrative support to the Director of Child and Family Support Services, provide cross departmental administrative coverage, as needed.
  2. Maintain Health, Transportation, Family Services, and Developmental Services purchasing accounts; facilitate and track expenses and usage.
  3. Coordinate CPR and First Aid training for HSELP employees, including billing, scheduling, and communication with trainer and employees. 
  4. Maintain EEC Transportation files for staff, contracted driver, and substitutes.
  5. Assist with scheduling vehicle maintenance, inspections, and registrations. 
  6. Maintain and track completion of Child and Adult Care Food Program (CACFP) enrollment forms and assist with yearly CACFP renewal application. 
  7. Track and maintain kitchen licenses through town’s Board of Health for HSELP kitchens and sites. 
  8. Organize and maintain termed child files at various locations.
  9. Assist in the coordination of Health, Mental Health & Family Services Advisory Committee meetings. 
  10. Attend Department meetings and take minutes.
  11. Assist in planning training, track attendees, and issue completion certificates. 
  12. Maintain HSELP Health Manual according to Head Start, EEC, and NAEYC regulations.
  13. Maintain HSELP Emergency Preparedness Manual for each site in accordance with Office of Head Start regulations.
  14. Maintain yearly warrantees and calibrations for health equipment as needed. 
  15. Assist with child 45-day screening for Vision and Hearing as needed.
  16. Assist with agency community outreach as needed.
  17. Maintain site mailroom, bulletin boards, and staff kitchenette in clean and orderly condition. 
  18. Maintain good in-house relationships with all other staff members and with providers.
  19. Must be sensitive to cultural diversities and needs of lower income families. 
  20. Participate in ongoing supervision. In collaboration with supervisor, create and maintain professional development plan and participate in training.
  21. Maintain good in-house relationships with all other staff members and with community partners.
  22. Must be able to travel to all HS & ELP sites. 
  23. Must adhere to agency confidentiality policies.
  24. Remote work from home will be assigned and determined by your supervisor, complying with the agency’s policy.
  25. Perform related work as required.

To Qualify/Minimum Qualifications/Transferable Skills:

  • 5 years related experience in early education, office management or related field.
  • 3 months of supervisory or project management experience.
  • Bilingual preferred.

  • Noise level in the office is usually quiet. The work environment is primarily an indoor office with occasional exposure to outdoor weather.  
  • Must have the ability to drive a personal vehicle and program vehicles, as needed.

Employment is contingent upon the following: a satisfactory Background Record Check (BRC) which includes Criminal Offender Record (C.O.R.I.), Department of Children and Families (DCF) background check, Sex Offender Registry information (SORI) checks, fingerprint-based national and state criminal history database checks, National Sex Offender Registry (NCOR), and Out-of-State checks (CORI, SORI, DCF) if an individual has lived in another state within the last five years. BRC and fingerprinting-based national and state criminal history check is to be completed every three years. In addition, employment is contingent on evidence of physical exam within the past year, plus verification of MMRs. Documentation of subsequent physical exams must be submitted every 2 years. Also, submit evidence of a good driving record and ability to be covered under Community Action’s non-owned and hired vehicle policy
