Job Description
The University of Nevada, Las Vegas invites applications for Assistant Director of Operations, UNLV Admissions, Operations and Processing (REMOTE [R0142027]
ROLE of the POSITION
Reporting to the Director of Admissions, the Assistant Director of Operations will serve as Superuser in PeopleSoft for undergraduate and graduate admissions and recruitment (Office of Admissions). This position will create new and manage existing automated jobs, serve as project manager for updates and enhancements in PeopleSoft, Salesforce, Hyland, SmartPanda and other higher education technologies related to the Office of Admissions. They will also build and administrate communications through the Salesforce marketing cloud for undergraduate and graduate recruitment in admissions. They will create and manage the Operations Production Calendar, create and update system documentation and business process guides, develop regular reports as well as process ad hoc reporting requests; and research and resolve issues associated with information in the database. Additionally, this position serves as the security officer for all access requests, discontinuations, and audits related to security for staff in the student information system, PeopleSoft, the CRM, Salesforce and all other platforms and software used by staff in the Office of Admissions.
This position will also serve as the Superuser in Salesforce for the Office of Admissions, and will work on the operational back end of both the undergraduate and graduate Salesforce platforms. Back and forth integration is required between Salesforce and PeopleSoft and this user will lead those projects with the relevant OIT teams. They will also collaborate with Salesforce OIT teams to test annual Salesforce application updates and enhancements. They will need to work closely with other Enrollment Management superusers to implement campus wide initiatives, solve system issues, deploy efficiencies, and communicate and train on system changes in support of the entire Academic Affairs.
Additionally, this position will serve as the lead for Common App and Centralized Application System (CAS) application updates. They will be responsible for maintaining the Common App (CAPP) and all three CAS applications (Business, Engineering and all other programs) for graduate students, as well as making and testing annual and ad hoc application updates, and working with OIT and CAPP and CAS teams as necessary.
The Assistant Director will work with MyUNLV/PeopleSoft and SalesForce counterparts in OIT and other units across Academic Affairs and the university as a whole to determine and implement processes that maximize efficiencies and reporting in PeopleSoft and SalesForce. They will maximize efficiencies and reporting in PeopleSoft and Salesforce and will oversee data imports from the online applications (Salesforce and Common App), and ensure the student information system remains accurate and functioning optimally. This position is also responsible for collaborating with the Admission leadership team in establishing productivity benchmarks, striving to meet goals established by the Associate Vice President for Enrollment Management and other university leadership, and ongoing training.
The Assistant Director will be expected to create, edit and maintain complex reports for the Office of Admissions and Enrollment Management leadership, as requested, train admissions and other enrollment management staff on business processes and in PeopleSoft and Salesforce, and keep abreast of new features and updates. They will also assist OIT in implementations and testing of new processes and systems and improvements in existing processes and systems.
In addition to supporting the Office of Admissions this role will also work with Registrar, Financial Aid, and all of Academic Affairs to create timely report and data requests, update and send communications through the Salesforce Marketing Cloud and work agilely to address emerging data and system needs in each unit. Sometimes these requests are very urgent and the Assistant Director will need to re-prioritize quickly to provide timely queries.
Lastly, they also support UNLV's large advising unit to provide them with individualized reports to each advising center on campus to facilitate operations campus wide.
This position was designed at this level, with a dedicated staff member reporting to it, and in-frequent interaction with the public so that the person in the role has the space to think critically and recommend ideas to bring the Office and all of Enrollment Management forward and better serve students–such as how to better leverage the systems used by admissions, to eliminate manual tasks and increase efficiency and decrease time to decision.
MINIMUM QUALIFICATIONS
This position requires a Bachelor’s Degree from an accredited college or university as recognized by the United States Department of Education and/or the Council on Higher Education Accreditation (CHEA) and 3-5 years of Related Professional Experience, 1-3 Years of Supervisory Experience and 1-3 Years of Management Experience. Credentials must be obtained prior to the start date.
