About the Role


We are seeking an Administrative & Training Coordinator to maintain effective team and office workflow, oversee office services across onsite and remote locations, and support employee training efforts. Assignments are deadline driven, so the ability to set priorities, own projects from start to finish, handle multiple projects simultaneously, demonstrate time management, high-level organization, data analysis & problem-solving, document review and editing, presentation skills, and provide a consistently high level of quality and accuracy in a fast-paced, high-volume environment is essential. The ideal candidate will be tech-savvy, well-organized, and adaptable to take on the changes of a dynamic work environment. This position will report to the Operations Manager.


This is a hybrid remote position from Denver, CO.


Administrative Support:

  • Maintain office operations and procedures by ensuring all workstations are set-up and functioning properly, maintaining an organized and presentable office environment, maintaining the office sign-in sheet and electronically preserving old sheets for tracking purposes in the designated SharePoint folder.
  • Facilitating various clerical duties, I.e Accepting deliveries and packages, checking the mailbox, completing any requests from the Property Manager to maintain building lease, maintain the storage room, maintain the office copier, and keep track of office inventory for supplies and materials.
  • Facilitate printing for various deliverables (postcards, letters, project resources etc), process supply orders, and coordinate with colleagues on office and field resource needs and be able to print and product at the Denver Office and mail with any additional requirements (Certified mail, return receipts, etc.)
  • Printing & assembly of hard copy deliverables with the machine at the Denver Office (depending on client preference). Produce an electronic copy of the deliverable on a CD, including a label. Pack and ship the hard copies to the client.
  • Coordinate various meetings, appointments, and travel for staff as needed.
  • Record meeting minutes for various company and project meetings. Format the minutes, assemble in Adobe (if needed), and distribute.
  • Review, approve/pay and code overhead vendor Invoices (I.e FedEx, etc.) to ensure they are billed to the correct Project/Task, and submit to Payroll for processing.
  • Oversee the employee store inventory, designing catalogue items with correct Tanaq brand. Distributing welcome kits for new employees and field gear to all employees as needed and collaborating with Axomo to resolve any issues.
  • Design and order business cards for employees, as needed. Incorporate requested design changes by management.
  • Assemble company and project PowerPoint presentations and submit to Configuration Manager for editorial review.
  • Provide high level editorial review and support to the Quality Control Team on various documents and deliverables. Competency in Microsoft word is required.
  • Manage miscellaneous project requests (I.e Order/design vehicle stickers for rental trucks, order project flyers to be printed at Staples, etc)
  • Coordinate company activities (I.e Quarterly group outings by geographical locations) to provide staff an opportunity to engage with one another and build rapport.

Training Support:

  • Provide support to the Operations Manager on the development, execution and maintenance of training programs and initiatives.
  • Partner with the Operations Manager and Supervisors to determine training timelines to prevent excessive business and project interruptions.
  • Oversee training schedules & trackers to minimize overlapping training efforts and work with PMs, and others on the Leadership team to assign training.
Requirements


Required Experience and Skills

  • Minimum of 3 years’ experience in a similar role
  • Advanced proficiency in Microsoft Office Suite (especially Excel, Word, Outlook, and PowerPoint); experience with graphics programs is a plus (Illustrator, InDesign, Photoshop, etc.)
  • Excellent verbal and written communication and coordination skills
  • Strong organizational skills, attention to detail and ability to plan and manage multiple tasks simultaneously (time management skills)
  • Experience with cloud-based tools document management tools (SharePoint or similar)
  • Experience with online meeting platforms (MS Teams, WebEx, Adobe Connect, etc.)
  • Strong technical and persuasive writing, editing and proofreading skills
  • Ability to work independently and as part of a team to handle multiple, simultaneous assignments at various stages of development and meet tight deadlines, providing a consistently high level of quality and accuracy
  • Professional demeanor with a positive, solution-seeking attitude and personal responsibility
  • Self-driven individual with ability to self-manage, take direction, and proactively run with projects.
  • Must possess a valid driver's license with a clear and satisfactory driving record.
  • Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future.

Education and Training

  • Bachelor’s Degree in English, Journalism, Marketing, Communications, or Business Administration, or an equivalent combination of education and experience

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer. May need to lift 25 pounds regularly.

Pay Range


The projected annual salary range for this position in Colorado is $40,000/Yr. - $60,000/Yr. USD. Please note that the salary information listed is a good faith estimate for this position and a general guideline only. Multiple factors are considered in determining final pay for a position, including, but not limited to, the candidate’s relevant work experience, skills, education, certifications, and competencies that align with the specified role, geographic location, as well as business considerations and contract provisions regarding labor categories that are specific to the position.
