Summary of Job Duties:
The Education Coordinator will be primarily responsible for coordinating administrative and logistic aspects of the Pharmaceutical Sciences Graduate Program track. This responsibility includes but is not limited to, overseeing the recruitment, application, screening, and admission process, supporting the Pharmaceutical Sciences Graduate Program Admissions Committee for candidate selection, overseeing student degree progress tracking, coordinating the Pharmaceutical Sciences graduate course schedule, and supporting relations between the program, school, and alumni. This position will also provide administrative support for faculty, staff, and students in the Pharmaceutical Sciences Department.

Qualifications:
  • Bachelor's degree in business administration, financial management or related field plus three (3) years of experience coordinating educational programs or

  • High School diploma/GED plus seven (7) years of experience coordinating educational programs required.

Knowledge, Skills & Abilities:

  • Proficient with Microsoft Office programs.

  • Must have outstanding organizational and communication skills.

  • Able to work independently. 

  • Able to work with diverse populations. 

  • Must be discreet and able to deal with confidential information.

Preferred Qualifications:

  • Three (3) years of Executive/Educational administrative level experience.

  • Working knowledge of Workday.


Additional Information:

Responsibilities

  • Communicate with the program director and graduate students about important deadlines and changes to graduate programming. 

  • Receive and process all MS and PhD applications once received from the Office of Graduate Studies.              

  • Assist students with enrollment, registration, and tuition processing.

  • Generate and prepare graduate program reports, reviewing for gaps/issues and making recommendations for improvements.

  • Compile and prepare graduate program statistical and other reports and record and prepare correspondence.

  • Develop and maintain a database containing current contact and career information for the Pharmaceutical Sciences program graduates and support Pharmaceutical Sciences alumni events.

  • Provide administrative support to the Pharmaceutical Sciences Faculty.

  • Manage purchasing and interdepartmental transfers, and reconcile expenses.

  • Monitor departmental accounts as needed and as a backup for Executive Assistant to the Departmental Chair. 

  • Prepare media service requests, request badge and key access, prepare work orders, IT requests, and other internal campus requests.

  • Maintain and reconcile research and contractual accounts for Department faculty.

  • Provide support to research faculty for procurement, review grant account balances for funds, and manage special projects.

  •  Assist with the maintenance of calendars.

  • Coordinate conference calls and meetings as requested.

  • Prepare routine departmental correspondence.

  • Work with IT when required to obtain necessary technical support.

  • Coordinate the installation of new software with IT.

  • Performs other duties as assigned.
