Description

Edovate Learning Corp. is seeking a highly motivated and detail-oriented Executive Assistant. In this pivotal role, you will be the right hand to our C-suite executives, ensuring smooth operations and contributing to the success of our leadership team. 


The Executive Assistant to the CEO and COO is instrumental in enhancing executive efficiency by handling administrative tasks, coordinating schedules, managing communications, and streamlining workflows. This role demands exceptional discretion, organizational skills, and multitasking abilities in a dynamic setting. The ideal candidate will be proactive, resourceful, and adept at maintaining confidentiality and providing top-tier administrative support to executives. Collaboration with the Human Resources department is also a key component of this role.


This role may be fully remote or hybrid, depending on your location.

Requirements

 Communication/Coordination

  • Serve as a liaison between executives and internal/external stakeholders 
  • Ensures smooth communication between the executive office and internal departments, maintaining credibility, trust, and support with senior management. 
  • Facilitate and manage high-level communications across the organization and with potential partners.
  • Handle sensitive and confidential information with the utmost discretion and professionalism. Ensure all communications and documents are kept secure and private when applicable.
  • Coordinate with department leaders to ensure communication is consistent and effective across the organization. 
  • Assist with preparing and editing correspondence, reports, presentations, and other documents.
  • Communicate scholarship details to relevant departments and individuals.

Strategic Support: 

  • Participate in strategic planning sessions, providing insights and administrative support. 
  • Assist executives in the development and implementation of strategic plans.

Planning / Administration:

  • Manage complex calendars for the CEO and COO. 
  • Organize and prepare executive meetings, including agendas, materials, and follow-up actions.
  • Arrange detailed travel itineraries encompassing flights, accommodations, and ground transportation.
  • Plan and coordinate special events, conferences, and meetings.
  • Assist in managing special projects and initiatives, ensuring timely completion.

Other:

  • Identify and apply for new funding opportunities.
  • Establish and maintain relationships with charter schools in California and correspondence schools in Alaska.
  • Maintain and update the master state funding spreadsheet.
  • Conduct research and compile data for reports and presentations.

Human Resources Support:

  • Provide administrative support to the HR department.
  • Notify employees about required documentation related to certification or new hire paperwork.
  • Conduct periodic audits of HR files to ensure completeness and accuracy.
  • Maintain up-to-date human resource files, records, and documentation.
  • Regularly update the staff directory.
  • Manage changes and updates within the HRIS system as necessary.

Skills & Qualifications:

  • A high school diploma or G.E.D. is required. An associate degree is preferred 
  • Minimum of 5 years of experience in an executive assistant or similar role supporting senior executives is required.
  • Proven experience in managing complex schedules and handling high-level communication.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality.
  • Excellent problem-solving skills and ability to anticipate needs.
  • Professional demeanor and positive attitude.
