Scope of the Role 

The Operations Assistant will play a crucial role in supporting our recruitment processes and general operations. This position involves a combination of administrative duties, candidate management, and operational support to ensure our firm operates efficiently and effectively. The ideal candidate will have a strong interest in recruitment, excellent organizational skills, and the ability to handle multiple tasks in a fast-paced environment.

Duties and responsibilities:

  • Assist in sourcing top-tier candidates within the tech industry through various platforms and channels, including job boards, social media, and networking events.
  • Review candidate profiles and determine suitability for roles based on predefined criteria.
  • Utilize automation tools for efficient processing and screening of candidates.
  • Initiate and maintain communication with potential candidates.
  • Manage candidate relationships throughout the recruitment process to ensure a positive experience.
  • Efficiently handle and organize multiple LinkedIn and email inboxes using designated tools.
  • Prioritize and respond to incoming communications in a timely manner.
  • Coordinate all stages of the recruitment process, from initial contact to final interviews.
  • Ensure a smooth and seamless experience for candidates and internal teams.
  • Clean, update, and maintain our candidate database to ensure accuracy and accessibility.
  • Regularly audit and verify data integrity.
  • Manage calendars and schedule appointments for recruitment activities.
  • Coordinate meetings and schedules for the founders of the business.
  • Assist the founders with general administrative tasks as needed.
  • Support various operational functions to enhance the overall efficiency of the firm.

Requirements

  • Meticulous attention to detail and accuracy in all tasks.
  • Proficient in spoken and written English with strong interpersonal skills.
  • Prior experience or a keen interest in recruitment processes.
  • Familiarity with both web2 and web3 technologies and trends is preferred.
  • Ability to thrive in a fast-paced startup environment, adapting quickly to changing priorities.
  • Proficient in Gmail and associated tools for efficient email management.
  • Familiarity with Notion for organizing and collaborating on tasks and projects
  • Comfortable using Slack for internal communication and collaboration.
