About The Role

We're seeking a highly organized and detail-oriented Executive Administrative Assistant to join our world-class Research & Development organization. In this role, you'll provide high-level administrative support to a senior leader and their team, playing a crucial part in ensuring smooth and efficient operations within our organization.

As the right-hand to our leadership, you'll act as a gatekeeper and liaison, managing schedules, communications, and information flow to optimize productivity. Your contributions will be vital to the overall success of the leadership team as you handle administrative tasks, facilitate communication, and enable effective decision-making.

This position is part of our Research team, reporting to the Executive Coordinator. You'll uphold the highest standards of professionalism and confidentiality while representing the leadership and organization in various capacities.

Key Responsibilities

  • Manage executives' schedules, appointments, and travel arrangements with precision and foresight
  • Coordinate and organize meetings, including preparing agendas and taking detailed minutes
  • Craft and edit correspondence, communications, presentations, and other documents
  • Conduct research and compile data to support executive decision-making processes
  • Assist in the preparation of reports and presentations, ensuring accuracy and clarity
  • Serve as the primary point of contact between executives and internal/external stakeholders
  • Plan and execute critical events, including leadership team offsites and corporate functions
  • Administer training programs for the leadership team, supporting their professional development
  • Collaborate on space planning and office layout optimization to create efficient work environments
  • Facilitate new employee onboarding processes, ensuring a smooth transition into the organization
  • Support budget management by tracking expenses and assisting with financial reports
  • Take on special projects as needed, demonstrating flexibility and initiative

Qualifications

  • High school diploma/GED required; Associate's or Bachelor's degree preferred
  • Minimum of 8 years of relevant experience in an administrative support role
  • Exceptional organizational, written, and verbal communication skills
  • Meticulous attention to detail and ability to manage multiple priorities
  • Strong judgment and high level of awareness in handling sensitive information
  • Demonstrated ability to build rapport with leadership and work effectively across global teams
  • Flexibility, multitasking capabilities, and a collaborative team player mindset
  • Proficiency in Microsoft Office Suite and other relevant software tools
  • Experience in a global corporate environment is a plus

Location: Boston, MA

Hourly Wage Range: $26.92 - $42.31

The actual hourly wage offered may vary based on qualifications, experience, skills, education, and other factors, in accordance with state or local minimum wage requirements.
