This position is part of Novanta’s Corporate and Shared Services global teams. Novanta’s Corporate and Shared Services teams play an important role in executing the company’s strategic mission and operations. Included in Corporate and Shared Services are the business functions including Finance, Accounting, Human Resources, Information Technology, Legal, Compliance, Corporate Development and Corporate Marketing. Job Summary
Novanta is seeking a Payroll Supervisor to join our Human Resources organization. Reporting to the Sr. Manager HR Services, this role is directly responsible for leading a team, and engaging in the day-to-day oversight of the International payroll function for Novanta and any subsidiaries to ensure timely and accurate processing of all payroll transactions including salaries, benefits, garnishments, taxes, deductions, and any additional compensation related transactions. The Payroll Supervisor is additionally responsible for the oversight of certain administrative tasks in support of HR Service Delivery activities including compensation workbooks, compliance, reporting and documentation of such tasks. This position interacts closely with all employees and partners within HR, Finance and Information Technology. The Payroll Supervisor will support the continued maintenance and development of systems as well as develop relationships with key internal stakeholders.
Primary Responsibilities
- Supervise a team in the administration and delivery of Payroll/HR Support tasks.
- Responsible for the day-to-day management of international payroll operations including processing, reporting and compliance and time and attendance.
- Responsible for delivery of payroll updates/dashboards/analytics to support business strategy and decision making using KPIs and customer service stats.
- Proactive collaboration with Corporate and local Accounting and Finance teams to ensure monthly informative account analysis and reconciliations are performed timely and any corrective actions are completed within the agreed upon schedule.
- Enhance payroll analytics and reporting capabilities to update stakeholders regularly and provide meaningful decision support for management. This will include preparation of monthly/quarterly payroll reporting package for leadership review.
- Provide complete and accurate information and reporting to ensure that Novanta is compliant with monthly, quarterly, annual requirements.
- Stay current on regulations, benefits changes, and labor laws impacting the payroll process, and stay compliant for all payroll tax jurisdictions.
- Actively participate in Payroll/HR/Time and Attendance system upgrades or related system updates. ADP, Workday,
- Coordinate with internal and external resources on year-end tax activities including adjustments to tax withholdings, submission of government employer reports, and distribution of wage and tax statements to employees.
- Direct team in administration of HR Operations Support activities in the area of Compensation Administration, Compliance Training and Reporting, Equity Administration and documentation generation and maintenance.
Required Experience, Education, Skills and Competencies
- Bachelor’s Degree in Finance, Accounting or related field or equivalent experience, preferred
- Minimum of 5-7 years of payroll processing experience
- Minimum of 3 years of payroll supervising experience
- Payroll processing experience across multiple platforms (i.e. ADP, Workday, etc.)
- Experience implementing, transferring and/or managing a large multi-country payroll provider required
- Fluent in conversational/business English and Czech
- Be able to influence and negotiate priorities with a focus on continuous improvement of operational processes and systems
- Ability to meet deadlines
- Strong attention to detail
- Strong collaborator, experienced in managing internal & external relationships
