This role is an Australia-based, fully work-from-home position, with access to co-working spaces in Sydney, Melbourne and Brisbane. 

 

Job Description

The primary purpose of this role is to manage the workflow of projects within Montu Brands. This includes planning, resource allocation, tracking, and coordinating project activities from inception through to completion. The Project Workflow Manager is responsible for ensuring that all projects are delivered on time, within scope, and within budget, while also facilitating communication between team members, departments, and external stakeholders.

Key Responsibilities:

 

Process & Trafficking of Projects

  • Develop and implement processes and procedures for project tracking and management.

  • Coordinate the flow of projects from brand, category, CRM, creative, content, events, and other departments as necessary.

  • Schedule and prioritise workloads to meet project deadlines.

  • Monitor project progress and adjust schedules and resources as needed to meet project timelines.

  • Act as a liaison between different departments to ensure clear communication and efficient workflow.

  • Maintain detailed records of project statuses, timelines, and resource allocation.

  • Identify potential bottlenecks or delays and work proactively to address them.

  • Ensure all stakeholders are updated on project progress through regular reports and meetings.

  • Key liaison between Marketing (CRM, Brand, Creative, Content, Growth, PR/Events), Category, Leafio and other parts of the Montu business. 

  • Facilitate communication between all stakeholders, including the client, creative team, and external partners, to ensure a clear understanding of project goals and progress.

  • Responsible for knowing and assisting in the management of the Marketing Calendar.

  • Manage the distribution and allocation of resources, including staff and materials.

  • Evaluate project outcomes and implement improvements to processes.

  • Run progress meetings with stakeholders.

 

Ownership & Project Management Tool

  • Own and embed the appropriate software within the department (Monday.com, google forms). 

  • Teach all stakeholders how to properly use the tool and create all necessary processes, jobs and briefs within the tool to successfully allocate resources and traffic workflow.

  • Time tracking and prioritisation - Work with the Head of Marketing - Montu Brands, marketing leads/managers and category to prioritise tasks accordingly, understanding project timelines, monitor and report on time by task & resource.

 

Production/Resource Management 

  • Help maintain a pool of external creative suppliers to help manage the production process and work overflow. 

  • Negotiate contracts and manage relationships with external vendors, freelancers, and production partners.

  • Coordinate with external vendors, such as production companies, talent agencies, directors, and photographers, to ensure high-quality deliverables.

  • Manage relationships with production partners to ensure that production is delivered on brief and on time. 

  • Ensure work is kept to budget in terms of resources allocated and cost spent on additional resources. 

  • Analyse production challenges and implement solutions to prevent future issues.

  • Stay abreast of industry trends, technologies, and best practices to continually improve production processes.

  • Report regularly to senior management on production status, challenges, and achievements.

  • Ensure the Data Asset Management System (DAM) is kept up to date.

  • Check all images used have the correct usage rights and duration times.

  • Ensure all stock images and other assets (video & audio) are correctly stored, labelled and categorised.

 

Qualifications

  • Bachelor's degree in Business, Marketing, Advertising, or a related field.

  • Strong experience establishing and leading project management practices in a creative agency or similar fast-paced environment.

  • Exceptional organisational and project management skills and ability to manage multiple projects simultaneously.

  • Deep understanding of the creative process and production techniques across various media platforms.

  • Proficiency in project management software and tools and the ability to teach others.
