Schedule: Night shift, Monday - Friday, 6:00am to 2:00pm US EST (6:00 pm to 2:00 am Manila Time)

Job Description:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will primarily be responsible for pre-booking food and beverage reservations on customer experiences, and adjusting the food and beverage inclusions according to customer requirements. There will also be reconciliation and invoicing tasks for our US team, along with various administrative and data entry duties. This role requires strong attention to detail, the ability to follow established processes, and effective communication skills for working in a team environment. Specifically, you must have fluent verbal and written English to communicate with vendors.

Key Responsibilities:

Assigning and booking experiences:
● Selecting the appropriate experience itinerary and adjusting food and beverage inclusions according to group size and dietary requirements
● Pre-booking and paying for food and beverage inclusions with providers

Reconciliation and Invoicing:
● Perform reconciliation of financial records for our US team.
● Generate and process invoices accurately and in a timely manner.

Administrative Tasks:
● Handle general administrative tasks such as email management, scheduling meetings, and maintaining files and records.
● Coordinate with team members to ensure smooth workflow and timely completion of tasks.
● Assist in preparing reports and presentations as needed.

Data Entry:
● Enter data accurately into relevant systems or databases.
● Maintain data integrity and confidentiality at all times.
● Conduct regular data quality checks to ensure accuracy and completeness.

Team Collaboration:
● Collaborate effectively with team members to achieve common goals and objectives.
● Communicate updates, progress, and issues within the team in a clear and concise manner.
● Participate in team meetings and contribute ideas for process improvements.

Requirements
Qualifications and Skills:
● Proven experience as a Virtual Assistant or in a similar administrative role is preferred but not required.
● Strong attention to detail and accuracy in work.
● Ability to follow instructions and adhere to established processes and guidelines.
● Excellent organizational and time management skills.
● Proficient computer skills, including Google Docs and Google Sheets
● Effective communication skills, both verbal and written in fluent English.
● Ability to work independently and as part of a team in a remote/virtual setting.
● Flexibility to work nightshift hours to work alongside US team members and adapt to changing priorities.

Relevant previous experience -
● Coordinator roles (Events Coordinator, Experience Coordinator, Office Coordinator)
● Other assistant or administrative roles
