Job Summary

The accounts payable (AP) department keeps the system running smoothly by managing cash flow and paying vendors and suppliers. We are searching for a skilled financial specialist to join our AP team and help process, track, and record payments accurately, efficiently, and timely. The AP specialist will have a daily, ongoing impact on financial transactions, keeping us on track, on time, and on good terms with our valued partners.

Responsibilities

  • Compare purchase orders, prices, payment terms and other charges against the invoice. Process 2-way and 3-way matched invoices as well as non-PO invoices to ensure proper entry into the financial system.
  • Reconcile receiving and price related discrepancies with vendors and/or purchase order/invoice owners.
  • Review all purchase orders for accuracy and obtain approvals when necessary.
  • Verify vendor W-9 information.
  • Enter invoices in accounting systems ensuring appropriate approval requirements, coding and matching are met
  • Manage the accounts payable inbox.
  • Respond to vendors inquiries in a timely and professional manner.
  • Maintain company credit card receipts for monthly reconciliation.
  • Reconcile, code, and enter all company credits card transactions.
  • Reconcile accounts monthly utilizing MS Excel for accuracy.
  • Reconcile vendor statements and maintain vendor information and history.
  • Responsible for the accuracy, efficiency, and timeliness of entering invoices, processing payments, tracking vendor payment history, and handling billing disputes.
  • Assisting with 1099 filings
  • Keep a track record of commercial invoices and import documentation
  • Maintain professional communication with vendors and team members.
  • Responsible for maintaining best practices in the A/P department.
  • Protect confidentiality and security of financial, client, and proprietary information always.
  • Prepare reports and/or provide documentation as requested.
  • Complete all other accounting and reporting projects as necessary.

Required Experience and Abilities:

    • Bachelor’s degree in accounting, finance, or related field preferred.
    • 3+ years of Accounts Payable experience.
    • Experience dealing with high volume.
    • Proficiency in Netsuite/Oracle, Google Suite, knowledge of Zendesk or other ticketing software.
    • Strong analytical and organizational skills.
    • Strong attention to detail.
    • Ability to anticipate needs and adapt to changes in a high-volume environment.
    • Must be reliable, professional and possess good judgment.
    • Must have strong interpersonal skills and effective, clear communication skills.
