THE ORGANIZATION

Founded at the University of Michigan Medical School, TRAILS (Transforming Research into Action to Improve the Lives of Students) is among the most innovative and rapidly-growing school-based mental health solutions in the country. After a decade in the academic setting, TRAILS spun out from the University in 2022 and became fiscally sponsored by Tides Center with approximately 35 staff. Within a year, our staff size had more than doubled. Today, our growing team is working toward the TRAILS mission of transforming the landscape of youth mental health care delivery by equipping school staff with the training and resources they need to provide evidence-based and culturally responsible programming to their students. 

To date, TRAILS has brought essential skills and resources to more than 14,000 teachers, administrators, and school mental health professionals. Our best-in-class program materials are built specifically for the school setting, and our unique training model is driven by research from the field of implementation science. Our website and library of materials are utilized by educators and clinicians across the United States and in more than 100 countries around the world. While our impact today is greatest in our home state of Michigan, TRAILS is expanding nationally with strong support from education and health sector leaders, public offices, and state policymakers. 

As we work to respond to massive demand for TRAILS programming from schools and districts throughout the United States, our team is guided by a core commitment to equity: The TRAILS growth strategy identifies Title I designated schools as our broadest target population, and we aim specifically to impact students who experience high risk for poor mental health outcomes and disproportionate barriers to quality care. THE TRAILS 3-TIERED MODEL 

TRAILS program offerings align with the Multi-Tiered System of Supports (MTSS) framework common within the educational setting. Currently, TRAILS equips school staff to provide three tiers of programming for students: 

  • Tier 1 Social and Emotional Learning Program: Training for educators and a comprehensive curriculum designed for delivery in the classroom setting to promote mental wellness for all students
  • Tier 2 CBT and Mindfulness Program: Training and resources for school mental health professionals that equip them to deliver effective supports for students experiencing symptoms of depression and/or anxiety
  • Tier 3 Suicide Prevention and Risk Management Program: Differentiated trainings for the whole school community and resources that promote effective policies and practices for navigating student suicidality   

Together, these three tiers enable schools to build a comprehensive system of mental health supports, providing a foundation of self-care and wellness skills for all students, while offering higher intensity interventions and services for students with more significant mental health needs.

 

THE ROLE

TRAILS seeks a highly detail-oriented Materials Coordinator to support the production process and distribution of TRAILS materials and resources, especially those related to TRAILS Strategic Initiatives. The TRAILS material library exceeds 1,200 items that are tracked, revised, translated into multiple languages, and distributed. As a member of the Materials Team, the Materials Coordinator would ensure that items in the material library are tracked, prepped to be sent to a language translation vendor, and entered into the TRAILS content management system and cloud computing platform for distribution through the TRAILS website and other channels. The Materials Coordinator is an integral role in the Language Access Project, as part of the TRAILS Strategic Initiatives and the ideal candidate will be multilingual in English and Spanish. The Materials Coordinator reports to the Managing Director of Trainings and Materials. 

At this time, TRAILS Strategic Initiatives are defined as projects that are backed by specific time limited legislative funding. As such, the role is considered to be limited term employment that will not go beyond December 2026. The position is considered a TRAILS team member and will receive full benefits during employment. If a regular, long-term role of interest to the team member becomes available at any point, the limited term  team member will be encouraged to apply.  

 

THE RESPONSIBILITIES

File review and preparation (30%)

  • Prepare and send finalized materials to an external vendor for translation into multiple languages
  • Verify accessibility of materials to be hosted on the TRAILS website
  • Verify that all hyperlinks imbedded within materials are operational
  • Verify that file labeling and location follows established naming conventions
  • Create thumbnail images for new materials hosted on the TRAILS website and revise thumbnail images for existing file as needed
  • Update Airtable records to reflect material status (all languages), location (shared drive; TRAILS’ website) and any notes needed for historical context
  • Prepare English materials built using a variety of platforms (InDesign, Google Docs, Google Slides) for translation into multiple languages in accordance with TRAILS’ standard operating procedures
  • Review materials post-translation for alignment with TRAILS quality and branding, and identify areas for additional quality assurance checks if needed

Material tracking and monitoring (20%)

  • Track the progress of materials through the development process, including translation, and document in Airtable in accordance with TRAILS standard operating procedures
  • Flag materials behind or ahead of their designated production timeline for managers to allow for the potential reallocation of resources or timeline adjustments
  • Monitor the progress of materials under development via Airtable (a project management system)

Material data entry (20%)

  • Upload materials intended to be shared publicly to AWS (Amazon Web Services) and AWS cloud-based file storage system in accordance with TRAILS’ standard operating procedures
  • Archive outdated materials from the TRAILS website in accordance with TRAILS’ standard operating procedures

Internal and external collaboration (20%)

  • Collaborate with internal teams (Tech Innovations, Clinical, Communications, Trainings) to provide status updates on materials under development and revision
  • Assist in making minor revisions to materials under the direction of other Materials Team staff members
  • Communicate with external vendors to acquire language translations of materials within the TRAILS library, including troubleshooting files if needed

Team responsibilities (10%)

  • Attend all staff meetings and retreats, workgroups and other relevant TRAILS meetings as necessary
  • Support TRAILS team with all hands on deck events as needed and other team initiatives

 

THE PERSON

Our experience suggests that the following types of professional experiences lend themselves to this work:

  • 2+ years experience performing administrative tasks and providing organizational support to program success
  • 2+ years experience utilizing project management system (Airtable, Monday.com, etc) to manage projects in collaboration with colleagues
  • 2+ years experience working within the Google Suite (Google Docs, Google Slides)
  • Experience with content management systems to publish content to a website
  • Experience using cloud computing platforms (Google Cloud, Salesforce, Amazon Web Services, etc.)
  • Experience with data entry
  • Experience with material translation
  • Proofreading experience a plus
  • Experience with Adobe InDesign a plus

EDUCATION

  • Bachelor's degree in office administration, office systems technology, business, administrative services, marketing, communications, or related discipline
  • Applicable experience and competencies may be considered in lieu of formal education

 

COMPENSATION

The hourly wage range for this role is $34.70 - $36.43.
