Facilities Management Contract Coordinator
Salary: London from £41,600 to £47,000

The team/department
The Workplace Solutions function reports into Finance and is responsible for the effective delivery of facilities management, property management, asset management and lifecycle planning across the property portfolio, constantly seeking to improve performance as appropriate to deliver increased value and service resilience. The team is also responsible for Health & Safety and Physical Security, and the delivery of services in support of that.
What you will be doing (the role)
Reporting into the Contracts Manager, you will assist the day-to-day working relationships with key Service Partners, as well as having the opportunity to co-ordinate some of the smaller contracts within Workplace Solutions. Key duties will include:
Establishing good working relationships with third-party on-site teams to help contractual delivery of the services
Arranging all meetings as agree within each contract including co-ordination of diaries, meeting room bookings, distribution of relevant documentation in advance and confirming minutes / action points after all sessions
Working closely with the Building Co-ordinators across the property portfolio to ensure Service Partners are providing the right level of service and that they are managed effectively
Co-ordinating regular operational “huddles” between teams to ensure that everyone is aware of requirements and expectations in respect of service delivery standards
Co-ordination of smaller contracts such as the Health Club, Travel, Archiving and Storage, which will include regular meetings to monitor performance and service delivery
Establishing customer feedback groups within the FCA to monitor service perception and drive the continuous improvement of key services through appropriate reporting and MI
Working with the Help Desk function to produce reports to demonstrate compliance in dealing with services across the property portfolio, and providing assistance and guidance on issues raised that require FCA support

The skills and experience you will have
Minimum

Proven experience of working within a Facilities Management function with experience in co-ordinating service contracts
Experience forging working relationships with internal and external stakeholders
Demonstrable evidence of co-ordinating complex administrative tasks including the contract change process and POs
Essential
A general understanding of contractual obligations within a Facilities Management function
Strong administrative skills
A good team player who appreciates the importance of collaboration to achieve joint success
Previous experience of working in a commercial or financial services environment
Numerate, analytical and able to develop, create and interpret management information
Ability to deliver against priorities and multi-task as necessary
