About This Role:

Michael Bonsby HVAC, Plumbing & Electrical is looking for a contract Bookkeeper responsible for assisting with the daily accounting and human resources needs of our home services business located in the Gaithersburg area. These include, but are not limited to, processing accounts payable, bank deposits, assisting with payroll processing and benefits administration using ADP and ServiceTitan. This is a full-time role that works closely with our outsourced accounting team and reports into the General Manager, and is based out of our growing Gaithersburg, MD office.

This contract role is covering a leave and there is no definite length of time at this moment. There is a potential for this person to transfer from contract to permanent.

What You’ll Do: 

Accounting - Accounts Payable

  • Coordinate with our centralized Accounts Payable to submit location vendor invoices and review and approve the coding and transaction in BILL software.
  • Handle vendor communications, resolve any billing disputes.
  • Assist in educating employees and managers on policies and procedures relating to disbursements.
  • Review credit card transactions for receipts and coding  for accuracy and completeness.
  • Assist with preparation of annual 1099’s and obtain W9s from vendors as required.
  • Maintain vendor files, including contracts for services.

Accounting - Accounts Receivable

  • Prepare customer invoices and daily invoice batches for jobs completed using Service Titan.
  • Collect and post customer payments and close daily batches in Service Titan.  
  • prepare bank deposits using the check scanning machine or making periodic bank runs.
  • Maintain customer files in Service Titan - assist in resolving discrepancies and irregularities.
  • Month end reconciliations of Service Titan to the accounting systems as needed.
  • Prepare and submit sales and use tax return for the locations sales per the state laws.

Accounting/HR - Payroll

  • Prepare weekly payroll partnering with the Corporate Payroll Manager using ADP’s Workforce Now solution.
  • Review timesheets in ServiceTitan and input into ADP ready formats.
  • Assist in reconciliation of all benefit deduction statements with payroll pre process reports
  • Assist in Reconciliation of monthly benefits bills with HR and payroll
  • Assist with ensuring accuracy of Time and Attendance data and various accruals.
  • Assist with ensuring compliance with IRS and other governmental laws and regulations.

HR

  • Work closely with the Head of Talent on employee relations matters, event planning and overall employee engagement activities
  • Be the main point of contact for new hires when it comes to Onboarding 
  • Execute I-9 files in ADP Workforce Now
  • Assist in benefits administration, including processing new hires, terminations and employee changes
  • Respond to employment verifications
  • Data collection, preparation of employee census information for compliance reports

We’d Love to Hear From You If You Have:

  • Experience in an Bookkeeper role, plus if it's with a home services (HVAC, Plumbing or Electrical) business
  • Experience with ServiceTitan, Sage Intacct & ADP Workforce Now is highly preferred
  • Bilingual in Spanish/English is a plus
  • You have a basic understanding of GAAP, IRS & HR compliance regulationsYou’re extremely detail oriented and organized and able to work independently and accurately under general supervision
  • You’re comfortable with Technology and accounting systems savvy, with a passion for automation
  • You have excellent analytical, organizational, and problem solving skills, which allows for strategic data interpretation vs. simple reporting and/or processing
  • You have the ability and desire to translate financial concepts to individuals at all levels throughout the organization
  • Excellent verbal and written communicator that is tactful and diplomatic 
  • You shine when you’re called on to work under pressure in a fast paced environment, and you’re able to respond to changing priorities
