Your missions

Project Coordinator

We are seeking an experienced and organized Project Coordinator to provide administrative support to multiple Senior Directors. This is a fast-paced role that requires excellent communication, time management, and multitasking abilities.

Key Responsibilities

  • Provide comprehensive administrative support, including coordinating meetings, events, travel arrangements, and managing complex schedules for internal and external stakeholders.
  • Collaborate with leadership teams across different locations to facilitate effective communication, planning, and execution of projects and meetings.
  • Maintain project schedules, budgets, and provide regular updates to ensure seamless progress.
  • Represent the company professionally by displaying superior communication skills and acting as an on-site coordinator for interviews and onboarding activities.
  • Serve as the central point of communication with candidates during the hiring process.
  • Manage office supplies, onboarding materials, coordinate start dates, access badges, and training needs with relevant teams.
  • Prepare expense reports, presentation materials, maintain appointment calendars, organizational charts, and job descriptions.
  • Handle correspondence, process HR forms, and facilitate communication flow throughout the organization.
  • Organize and maintain files in compliance with corporate record retention policies.
  • Liaise with external facilities, suppliers, and contractors as required.
  • Proficient in business applications such as ARIBA, eMarketplace, Concur Travel, and Expense Reporting.

Qualifications

  • High School diploma required; 2-year degree in business, technical field, or equivalent job experience preferred.
  • 5-10 years of progressive administrative experience, preferably in a product development or organizational setting.
  • Proven experience supporting Senior-level staff in a fast-paced, team-based work environment.
  • Excellent interpersonal skills to effectively communicate with internal and external customers at all levels.
  • Highly proficient in Microsoft Office Suite and Outlook.
  • Legally permitted to work in the United States.
